What you'll do:

Viasat is seeking a temporary Executive Assistant to the Chief Executive Officer (CEO). Do you have a passion for providing high-impact support at the pinnacle of the C-suite? We are looking for a dedicated individual who possesses an unwavering sense of urgency and organization and takes proactive initiative. In this role, you are an integral partner to our CEO.

 

You will demonstrate your proficiency by remaining calm under pressure, leveraging strong collaboration skills, and effectively prioritizing tasks as you coordinate cross functional activities, manage high level requests, and maintain complex, high-volume calendars. As a key contributor to our team, you will play an essential role in upholding our company culture and supporting seamless global operations.

The day-to-day:
  • Executive Information Agility: Ability to quickly absorb, retain, and act on information shared in fast-paced or informal interactions, ensuring timely follow-up and accurate support for executive and stakeholder needs.
  • Flexible Availability to Support Global Time Zones: Demonstrates a willingness to adjust working hours as needed to support international partners and business priorities.
  • Complex Calendar Management: Proactively maintain the CEO’s dynamic schedule ensuring they stay on track while balancing competing priorities.
  • Global Logistics: Plan and coordinate intricate domestic and international travel, managing detailed itineraries in both digital and hard copy formats across multiple time zones, often requiring real-time adjustments and a high level of responsiveness. Responsibilities include overseeing visa applications, foreign travel documentation, security clearance processing, and ensuring compliance with all travel and security requirements, while partnering closely with our travel concierge team to deliver seamless executive travel experiences.
  • Meeting & Event Excellence: Set up and manage web-based meetings and VTCs across global time zones. Assist in planning and executing on- and offsite business events, including international summits and all-hands meetings. Frequently coordinate and host executive breakfasts, lunches, dinners, and other high-touch engagements, often on short notice and across varying time zones, including managing reservations, catering logistics, event setup, guest experience, and food pickup as needed.
  • Liaison & Ambassadorship: Serve as the first point of contact for internal and external partners, representing the executive office with professionalism, discretion, poise, and diplomacy at all times. Build and maintain strong relationships while confidently engaging and communicating with senior executives, board members, customers, and other high-level stakeholders.
  • Financial & Admin Support: Process domestic and international expense reports, manage purchasing card accounts, and oversee onsite catering requests.
  • Culture Building: Support collaborative teamwork across Executive Assistants to foster a vibrant, inclusive team culture within the executive office.
  • Technical Troubleshooting: Provide basic IT setup support, partner with local IT teams, and ensure all executive office supplies and tools are seamlessly maintained.
What you'll need:
  • 7+ years in an Executive Assistant role supporting C-suite leadership within a global organization, ideally a CEO
  • A proven track record of working independently with little to no supervision while managing numerous interruptions and unforeseen events.
  • Exceptional Communication: Superior oral and written communication skills.
  • Organizational Mastery: Ability to concurrently manage various deadline-driven tasks from multiple sources with extreme attention to detail, including scheduling, expense reports, and logistics coordination.
  • Global Mindset: Outstanding interpersonal skills with the talent to interface courteously with personnel and external contacts from various cultures.
  • Discretion: Extensive experience working with sensitive information requiring a high level of confidentiality.
  • Technical competence: Microsoft Office Suite, specifically Outlook, SharePoint, Concur, Excel, Zoom
  • Location: Ability to work on-site at our Carlsbad, CA headquarters, Monday- Friday.

  • Experience working and coordinating with a team of Executive Assistants.
  • Experience supporting executives within a global organization.
  • Strong executive presence and confidence managing meeting flow, including the ability to respectfully interrupt conversations to keep meetings on schedule and aligned to priorities.
  • Ability to anticipate timing challenges and proactively guide executives and attendees through agenda transitions to ensure efficient use of time.
Salary range: $101,500.00 - $160,000.00 / annually. For specific work locations within San Jose, the San Francisco Bay area and New York City metropolitan area, the base pay range for this role is $126,000.00- $189,000.00/ annually  : At Viasat, we consider many factors when it comes to compensation, including the scope of the position as well as your background and experience. Base pay may vary depending on job-related knowledge, skills, and experience.
