The U.S. Alcohol Policy Alliance (USAPA) is seeking a highly organized, proactive Executive Assistant to serve as a trusted partner to the CEO. This 20 hours/week role provides high-level administrative and operational support in a fast-paced, mission-driven nonprofit focused on advancing evidence-based alcohol policy nationwide.

The ideal candidate is detail-oriented, discreet, tech-savvy, and comfortable managing board communications, executive scheduling, and special projects in a mostly remote environment. Position requires a commitment of 20 hours per week at least one weekly, in-person meeting.

Key Responsibilities

  • Manage and prioritize the CEO's calendar, email, and meeting logistics
  • Serve as liaison to the Board of Directors (schedule meetings, prepare/distribute board materials, take minutes) and member organizations across the country
  • Prepare meeting agendas, briefing materials, and presentations for committee's and task forces
  • Coordinate travel and track follow-up action items
  • Support expense reporting, donor database, donor acknowledgments, and digital file management
  • Organize events and participation in conferences
  • Assist with fundraising, policy, and media research projects

Qualifications

  • 3+ years supporting senior leadership (Executive Assistant or similar role)
  • Experience in nonprofit, public health, advocacy, or mission-driven organizations preferred
  • Strong proficiency in Google Workspace
  • Familiarity with Constant Contact, Canva, donor databases, PayPal, Wix, or project management tools a plus
  • Exceptional written communication, organization, and judgment
  • Ability to work independently with high discretion
  • Potential travel to conferences
