LOCATION: Midland, TX
CONTEXT: Our client is seeking a highly proactive, detail-oriented Executive Assistant to support the CEO of a growing oilfield services company. This individual will act as a true right-hand partner—owning calendar management, coordinating logistics, and ensuring the CEO stays organized, prepared, and focused on high-impact priorities.
This role requires a go-getter mentality, strong judgment, and the ability to operate with urgency, discretion, and minimal direction.
RESPONSIBILITIES:
- Schedule, coordinate, and prioritize meetings across internal and external stakeholders.
- Manage shifting priorities and protect time for key initiatives.
- Set up Microsoft Teams meetings and send invites.
- Prepare agendas, track action items, and follow up as needed.
- Book flights, hotels, rental cars, and itineraries.
- Ensure seamless travel experiences and adjust plans in real time when needed.
- Assist with personal calendar coordination and scheduling.
- Handle miscellaneous requests, errands, and time-sensitive tasks.
- Track expenses, receipts, and reimbursements.
- Assist with basic reporting and documentation.
- Anticipate needs before they arise.
- Prioritize requests and manage competing demands with professionalism.
QUALIFICATIONS:
- 3+ years of administrative experience, ideally supporting a CEO, executive, or senior leader.
- Strong organizational and time management skills.
- Ability to operate in a fast-paced, high-demand environment.
- High level of discretion and professionalism.
- Excellent communication skills (written and verbal).
- Proficiency with Microsoft Office Suite, especially Outlook and Teams.
- Resourceful, adaptable, and solution-oriented mindset.
