The Faculty Affairs Executive Assistant provides high-level administrative and operational support to the Associate Provost for Faculty Affairs and serves as a primary front-facing representative of the office. This position is responsible for supporting executive-level functions and managing sensitive, time-critical activities with a high degree of professionalism, discretion, and responsiveness.

The role serves a central coordinating function within the office, providing flexible support across a range of administrative, operational, and project-based needs. The position absorbs intermittent but critical tasks to ensure continuity of operations and enable team members to focus on specialized responsibilities. The incumbent exercises sound judgment in prioritizing work, triaging requests, and ensuring timely and accurate follow-up.

This position regularly serves as a first point of contact for internal and external stakeholders and is responsible for maintaining a high standard of professionalism in all interactions with university leadership, faculty, staff, and external partners. The role supports responsiveness across the office by monitoring requests, facilitating communication, and ensuring efficient service delivery.

The position requires the ability to manage competing priorities, anticipate needs, handle confidential matters, and shift effectively between routine administrative functions and high-priority, time-sensitive responsibilities. The incumbent contributes to the overall efficiency, effectiveness, and professionalism of the Office of Faculty Affairs.

Primary areas of responsibility include executive calendar management, office operations, procurement, personnel support, records and data management, and coordination of activities across the Office of Faculty Affairs. The position works collaboratively with team members to support office operations and faculty-related processes across the faculty lifecycle.

Experience with administrative systems and workflow tools, or ability to quickly learn.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with tools such as Adobe and Canva.

  • Provide high-level executive support to the Associate Provost, ensuring priorities, deadlines, and commitments are proactively managed.
  • Manage a complex and dynamic calendar, anticipating conflicts and aligning scheduling with strategic priorities.
  • Prepare briefing materials, agendas, and correspondence to support leadership decision-making.
  • Track and follow up on time-sensitive initiatives, deliverables, and commitments.
  • Assist with coordination of strategic projects and leadership initiatives, exercising independent judgment where appropriate.

Office Operations & Front-Facing Role

  • Serve as the primary front-facing contact for the Office of Faculty Affairs, ensuring a consistently professional and responsive experience.
  • Triages incoming requests, directing issues appropriately and ensuring timely resolution.
  • Provide flexible support by absorbing high-priority, intermittent tasks to maintain workflow continuity and allow team specialization.
  • Monitor office responsiveness and ensure timely communication across stakeholders.
  • Support operational needs including financial transactions, event coordination, and communications.
