Position Overview

 

The Executive Assistant will serve as the right hand to the President & CEO, providing high-level executive and administrative support while acting as a trusted gatekeeper, strategic partner, and liaison across internal and external stakeholders.

 

This individual will help manage the day-to-day flow of information, priorities, scheduling, communications, reporting, and special projects while maintaining the highest degree of confidentiality and professionalism.

 

This is a fully onsite role based in Beverly Hills.

 

Key Responsibilities

 

Executive Support
  • Manage an active and complex calendar, appointments, and meetings
  • Coordinate domestic and international travel arrangements
  • Prioritize competing requests and resolve scheduling conflicts proactively
  • Manage logistics across multiple business and personal commitments
  • Assist with family-related scheduling and coordination as needed
  • Prepare presentations, reports, and meeting materials

 

Communication & Relationship Management
  • Serve as a strategic gatekeeper and liaison on behalf of the executive
  • Screen calls, emails, and correspondence
  • Coordinate communication with advisors, vendors, consultants, and external partners
  • Maintain absolute discretion regarding confidential financial, legal, and family matters
  • Communicate professionally with high-profile stakeholders and family members

 

Administrative & Operational Support
  • Maintain physical and digital filing systems
  • Assist with invoice approvals and submission to accounting/business management partners
  • Participate in weekly coordination meetings with outside accounting/business management firms
  • Update and maintain reporting documents and Excel-based tracking schedules
  • Assist with special projects and process improvements
  • Coordinate office coverage and collaboration with other executive assistants

 

Investment & Asset Coordination
  • Assist with maintaining investment and asset tracking documentation
  • Support reporting related to real estate, family office assets, and investment holdings
  • Maintain and organize art files and related documentation
  • Help manage schedules, records, and organizational systems for various family office assets

 

Technology & Presentation Support
  • Prepare PowerPoint presentations and executive materials
  • Assist with website updates and coordination with vendors when needed
  • Utilize AI and technology tools to improve efficiency and organization
  • Maintain strong working knowledge of Outlook, Excel, PowerPoint, and Word

Qualifications
  • 5–10+ years of Executive Assistant experience supporting C-suite executives, principals, or family offices
  • Prior experience in a family office, private investment office, real estate, finance, or professional services environment strongly preferred
  • Advanced proficiency in: Outlook, Excel, PowerPoint, Word
  • Strong written and verbal communication skills
  • Experience handling confidential information with discretion
  • Strong organizational and project coordination abilities
  • Ability to manage multiple priorities simultaneously
    • Stable career history with demonstrated long-term tenure preferred
