The School District of New Berlin is seeking a highly skilled, proactive, and diplomatic professional to serve as the Executive Assistant to the Chief Finance and Operations Officer (CFOO) and Director of Employment Services. Positioned at the heart of our central administration, this vital role provides complex, highly sensitive, and confidential executive-level support while anchoring the daily operational logistics of the District Office.

Acting as a central resource, cultural anchor, and primary point of contact, you will manage a wide variety of responsibilities cutting across human resources, talent logistics, business finance operations, risk management, and state compliance programs. Executive & Administrative Support

  • Dual Executive Partnership: Partner directly with the CFOO and Director of Employment Services to manage task priorities, compose professional correspondence, prepare financial/personnel reports, design presentation materials, and handle comprehensive calendar and meeting logistics.

  • District Office Stewardship: Serve as the primary face of workplace hospitality and operational logistics for the District Office, maintaining an exhaustive, cross-functional understanding of all departments to efficiently resolve internal issues and route external inquiries.

  • Clerical & File Governance: Deliver high-level clerical excellence, taking full ownership of confidential HR filing, data entry, physical/digital record architecture, and the meticulous processing of personal correspondence.

Operations, Risk Management, & Compliance

  • Risk & Accident Tracking: Coordinate, document, and securely track all district facility incident and accident reports involving students, visitors, or vendors to support compliance, liability insurance standards, and potential legal reviews.

  • Fleet & Vetting Governance: Monitor and audit the district's authorized driver roster, tracking license expirations and coordinating annual Motor Vehicle Record (MVR) background checks.

  • Fundraising & Civic Compliance: Evaluate school-sponsored fundraiser submissions against Board policy and DPI accounting guidelines (WUFAR). Review and track incoming district donations, and manage the mandated financial reporting and renewals for district raffle licenses in compliance with the Wisconsin Department of Administration (DOA) Division of Gaming.

Human Resources & Talent Logistics

  • Hiring Pipeline Coordination: Assist the Employment Services Specialist with the logistics of the district''s hiring pipeline, including scheduling multi-department interviews, facilitating pre-employment screens, and tracking new-hire onboarding paperwork and equipment setups.

  • Licensure & Compliance Auditing: Audit and track staff professional development, mandatory compliance certifications, and Wisconsin DPI educator licensure status to guarantee total district-wide compliance.

  • Brand & Roster Maintenance: Update internal organizational directories, the public staff roster, and the Employment Services sections of the district website. Curate professional content for channels like LinkedIn to support talent acquisition and showcase district culture.

Specialized District Programs

  • Student Open Enrollment Management: Administer the district''s student open enrollment cycle following strict state guidelines and DPI timelines, managing applications, coordinating seat availability with administrators, and handling family communications.

  • Transportation & Private School Contracts: Oversee the pupil transportation parent contract process per Wisconsin State Statute, determining eligibility, calculating mileage-based parent stipends for private/parochial school families, and coordinating financial distributions with the business office.

  • Volunteer Vetting: Serve as the central gatekeeper for all district volunteer approvals across all schools, ensuring background screens are processed and evaluated before individuals interact with students.
