Vital Health is a growing behavioral health and primary care organization serving adults and children throughout Northwest Ohio. We are seeking a highly organized, proactive, and solutions driven Executive Assistant to directly support the CEO in a fast paced and rapidly growing healthcare organization. This role is much more than traditional administrative support. The ideal candidate will act as a strategic partner who helps manage priorities, improve communication flow, organize operations, and create structure within a high growth environment.
This position is ideal for someone who thrives in fast moving environments, enjoys solving problems, anticipates needs before they arise, and can help transform ideas into organized action plans. The right candidate must be comfortable balancing executive support, operations coordination, communication management, project tracking, and organizational systems.
Key Responsibilities
• Manage and optimize the CEO's calendar, scheduling, priorities, deadlines, and daily workflow
• Protect executive time by prioritizing high value meetings, projects, and responsibilities
• Coordinate internal and external meetings while ensuring agendas, logistics, and preparation materials are organized in advance
• Track follow ups, deadlines, action items, and ongoing priorities
• Manage communication flow between leadership, staff, vendors, and community partners
• Draft professional emails, internal communication, and executive responses on behalf of the CEO
• Help filter urgent versus non urgent matters while ensuring timely follow through
• Maintain professionalism, discretion, confidentiality, and strong judgment in all communication
• Assist with project management, workflow coordination, operational follow up, and organizational initiatives
• Organize meeting notes, action plans, project updates, and executive documentation in structured systems
• Help identify operational inefficiencies, communication gaps, and workflow bottlenecks
• Support development of scalable systems, organization processes, and accountability structures as the company grows
• Help organize ideas, initiatives, and priorities into actionable plans and clear direction
• Assist with leadership communication, meeting coordination, and organizational alignment across departments
• Support planning for events, partnerships, expansion opportunities, and strategic initiatives
• Provide high level support that creates clarity, structure, and efficiency for executive leadership
What We're Looking For
• 3+ years of executive support, operations coordination, project management, healthcare administration, or leadership support experience strongly preferred
• Strong organizational skills with the ability to manage multiple priorities in a fast paced environment
• Excellent written and verbal communication skills
• High level of professionalism, discretion, emotional intelligence, and accountability
• Ability to anticipate needs, problem solve independently, and take initiative without constant direction
• Experience with Google Workspace, calendars, project tracking systems, and digital organization tools
• Comfortable learning and utilizing AI tools, automation systems, and workflow technology to improve efficiency
• Healthcare, behavioral health, operations, startup, or executive leadership support experience strongly preferred
This is a full time, primarily in person position located in Maumee, Ohio. Occasional off site responsibilities, meetings, events, and travel may be required based on organizational needs.
