Position Summary
The Executive Assistant & Systems and Data Manager serves as a strategic partner and operational leader supporting the Superintendent in advancing the mission and priorities of Frankfort-Elberta Area Schools. This position blends high-level executive support with systems oversight, ensuring that district operations, compliance, and communication flow efficiently across departments. Acting as an integrator, the Executive Assistant coordinates cross-departmental initiatives and ensures that state and federal reporting requirements are met through collaborative staff engagement. This role ensures that the Superintendent's leadership capacity is maximized, district operations remain compliant and efficient, and communication across the organization is seamless. The Executive Assistant & Systems and Data Manager is a cornerstone of organizational coherence - bridging administrative precision with strategic execution.
Key Responsibilities
Executive Leadership Support
- Serve as the Superintendent's primary administrative and strategic support, managing scheduling, correspondence, and project coordination with discretion and professionalism.
- Anticipate needs, prepare materials, and ensure the Superintendent's time is aligned with district priorities.
- Coordinate communication between the Superintendent and internal/external stakeholders, maintaining confidentiality and clarity.
- Support board relations through agenda preparation, document management, and follow-up tracking.
- Represent the Superintendent's office in meetings and communications when delegated.
- Serve as chief-of-staff to support Superintendent for day to day coverage that is needed
Systems Oversight & Data Integrity
- Lead and coordinate all state and federal reporting processes (CEPI, REP, MDE, MOECS, PowerSchool, and substitute permits).
- Work collaboratively with building and department staff to ensure accurate, timely data entry and submission.
- Develop and maintain district data systems and workflows that promote efficiency, compliance, and transparency.
- Serve as liaison to the ISD and state agencies for reporting and compliance matters.
- Monitor timelines and accountability for all required submissions.
Operational Coordination
- Oversee the management of district/building calendars, enrollment cycles, and count day procedures.
- Support district-wide initiatives requiring cross-departmental coordination (e.g., strategic planning, accreditation, audits).
- Maintain organized systems for contracts, service agreements, and documentation.
- Provide logistical and administrative support for district events and communications.
- Financial communication and collaboration with Northwest Education Services Business Office.
- Other duties as assigned
Strategic Partnership
- Act as a thought partner to the Superintendent, offering insight, synthesis, and follow-through on key initiatives.
- Identify opportunities to streamline operations and improve communication flow across leadership levels.
- Uphold the Superintendent's priorities and ensure alignment between administrative actions and district goals.
Qualifications
- Bachelor's degree in education, business administration, public policy, or related field ( or equivalent work experience considered).
- Experience in executive administration, educational operations, or data systems management.
- Exceptional organizational, communication, and interpersonal skills.
- Proven ability to manage confidential information and complex workflows with precision.
- Strong analytical and problem-solving skills; ability to lead through collaboration and influence.
