Executive Assistant – Financial Family Office

Sedalia, Colorado (On-Site)

A family-owned financial, real estate development, and custom home building company is seeking a highly skilled and organized Executive Assistant to join our dynamic team. This role supports the principles of a family business office and other senior managers.

This position is approximately 15 minutes from Castle Rock. The Executive Assistant plays a vital role in supporting senior leadership, ensuring seamless communication, organization, and smooth day-to-day office operations.

Key Responsibilities

  • Provide high-level administrative support to senior management, including calendar management, scheduling, and meeting coordination
  • Manage correspondence, emails, and phone calls with professionalism and discretion
  • Prepare documents, reports, and meeting minutes as needed
  • Maintain highly organized physical and digital filing systems, including CRM tools
  • Coordinate management schedules, corporate meetings, and special events
  • Utilize Microsoft Outlook and Office 365 to manage calendars, communications, and documents
  • Ensure documents are prepared and executed electronically using DocuSign
  • Manage office supplies, organization, and overall office environment
  • Provide front-office and visitor support with a strong customer-service mindset
  • Perform limited bookkeeping support, including initial input of accounts receivable, inventory, and cash position for delivery to accounting staff
  • Handle confidential and sensitive information with the highest level of integrity

Qualifications & Skills

  • Strong executive or administrative support background
  • Excellent organizational, communication, and time-management skills
  • High degree of professionalism, discretion, and integrity
  • Proficiency in Microsoft Office / Office 365 (Outlook, Word, Excel) and Mac OS
  • Experience with office management, reporting, and document preparation
  • Strong phone etiquette and proactive communication style
  • Detail-oriented and able to manage multiple priorities in a fast-paced environment
