    Spine Medicine and Surgery of Long Island is a premier, minimally invasive spinal surgery practice providing world-class, cutting-edge spinal care to the Tri-State area. As we continue to expand across Nassau and Suffolk Counties, we are seeking a highly organized, proactive, and dependable full-time Executive Assistant to directly support our CEO and leadership team.

    Position Overview:

    We are looking for a motivated Executive Assistant to serve as a key partner to our CEO. This role requires exceptional organizational, project management, and communication skills. The ideal candidate will excel at managing a fast-paced calendar, coordinating executive priorities, supporting cross-functional initiatives, and ensuring seamless execution of projects that drive operational efficiency and growth across the organization.

    Key Responsibilities:

    • Manage and coordinate the CEO’s calendar, meetings, and appointments

    • Serve as a primary point of contact for scheduling, communication flow, and executive priorities

    • Organize, monitor, and assist with email communications, ensuring timely follow-ups on high-priority items

    • Track and follow up on action items from leadership meetings, ensuring deliverables are completed accurately and on time

    • Assist in creating, maintaining, and executing project management tools and workflows to keep leadership initiatives aligned and on schedule

    • Prepare reports, presentations, meeting agendas, and documentation as needed

    • Coordinate with internal staff and external partners to support smooth day-to-day operations and executive requests

    • Support CEO-driven initiatives including operational projects, business development efforts, and strategic planning tasks

    • Maintain confidential files and records with accuracy, discretion, and professionalism

    • Assist with administrative tasks including correspondence, scheduling, vendor communications, and general office coordination as needed

    Qualifications:

    • Prior experience as an executive assistant, administrative assistant, or office coordinator required (healthcare experience preferred but not required)

    • Strong organizational and multitasking skills with exceptional attention to detail

    • Excellent communication and interpersonal abilities, both written and verbal

    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and comfort with EMR or other practice management systems

    • Experience with project management software (e.g., Asana, Trello, Monday.com) preferred

    • Ability to handle sensitive and confidential information with professionalism

    • Ability to anticipate needs, take initiative, and work effectively in a fast-paced environment

    • Marketing or social media management experience a plus

    Job Details:

    • Hours: Full-time position, exact schedule may vary (30–39 hours/week)
