About Our Client:

Addison Group is partnering with a mission-driven organization seeking an experienced Executive Assistant to support two senior executives. This is a highly visible role that combines executive support, project coordination, and operational administration. The ideal candidate is proactive, highly organized, and able to step into a fast-paced environment with minimal training.

Job Description:

The Executive Assistant will provide direct support to two senior leaders, managing complex calendars, coordinating meetings and special projects, and handling sensitive information with discretion. This individual will serve as a key administrative partner, helping keep day-to-day operations running smoothly while supporting strategic initiatives across the organization.

Key Responsibilities:
  • Manage complex scheduling, calendar coordination, and meeting logistics for senior leadership.
  • Coordinate board and executive meetings, including agendas, Zoom links, materials, surveys, and catering arrangements.
  • Maintain and organize confidential files, records, and operational documentation.
  • Assist with administrative support related to financial and operational processes.
  • Support cross-functional projects and independently manage assigned initiatives.
  • Track deadlines, maintain reporting documents, and improve organizational processes.
  • Serve as a trusted liaison between leadership and internal/external stakeholders.
  • Handle sensitive information with professionalism and a high level of confidentiality.
Qualifications:
  • 3+ years of Executive Assistant, Administrative, Office Management, or Project Coordination experience.
  • Experience supporting senior leaders in a fast-paced environment.
  • Strong organizational, multitasking, and project management skills.
  • Ability to manage high volumes of documentation and maintain exceptional attention to detail.
  • Strong communication skills and professional executive presence.
  • Experience working in mid-sized or large organizations preferred.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Excel, Word, and PowerPoint.
  • Ability to work independently and quickly establish trust with leadership.
  • Bachelor's degree preferred but equivalent experience will be considered.
Additional Details:
  • Schedule: Full-time, Monday-Friday
  • Work Arrangement: Fully onsite, five days per week in Oakland, CA
  • Employment Type: Direct Hire, Contract-to-Hire, or Long-Term Contract (12+ months)
  • Reporting Structure: Direct support to two senior executives
  • Interview Process: Virtual interview followed by an onsite interview.
