About the Opportunity
Our client, a well-established and highly respected real estate organization headquartered in Newport Beach, is seeking an experienced Executive Assistant to provide high-level administrative support to multiple senior executives. Key Responsibilities
- Provide high-level administrative support to multiple executives in a dynamic corporate environment.
- Manage complex calendars, schedule meetings, and coordinate executive appointments.
- Arrange domestic travel, prepare detailed itineraries, and complete expense reports.
- Draft, edit, proofread, and format correspondence, presentations, reports, proposals, contracts, and other business documents.
- Prepare meeting agendas, compile materials, take meeting minutes, and follow up on action items.
- Serve as a primary point of contact for executives, acting as both gatekeeper and liaison with internal teams and external partners.
- Maintain electronic and physical filing systems, databases, and spreadsheets.
- Process invoices by obtaining approvals and coordinating with accounting for payment.
- Assist with conference room setup, audiovisual equipment, catering, and meeting logistics.
- Manage Outlook calendars and provide email support.
- Handle incoming mail and ensure timely distribution.
- Support special projects and perform additional administrative duties as needed.
- Attend occasional off-site meetings and visit company locations or vendors when required.
Qualifications
- Associate's degree required; Bachelor's degree preferred.
- 6â8+ years of executive or senior administrative support experience within a corporate environment.
- Exceptional organizational and time management skills with the ability to prioritize multiple deadlines.
- Proven ability to work independently with minimal supervision.
- Strong attention to detail and commitment to producing accurate, high-quality work.
- Excellent written and verbal communication skills.
- Demonstrated ability to maintain confidentiality and exercise sound judgment.
- Professional, positive, and customer-service-oriented demeanor.
- Strong interpersonal skills with the ability to build relationships across all levels of an organization.
- Experience researching, organizing, analyzing, and presenting information.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams), Zoom, and internet research.
- Excellent proofreading and document formatting skills.
- Self-motivated with a proactive, solutions-oriented mindset.
- Flexibility to work occasional overtime as business needs require.
Additional Requirements
- Valid driver's license or reliable transportation for occasional travel to meetings and company locations.
- Ability to pass a pre-employment background check and drug screening.
