This role supports the development and operations of New Glenn, a single-configuration, heavy-lift orbital launch vehicle capable of routinely carrying people and payloads to low-Earth orbit, geostationary transfer orbit, cislunar, and beyond. Its first stage is fully reusable, and the vehicle was designed from the beginning to be human-capable.

We're seeking an experienced, mission-driven Executive Assistant who thrives in complexity, anticipates what's needed before it's asked, and moves with discretion, urgency, and precision. Why This Role Matters
This is not your typical administrative position. As Executive Assistant supporting both the VP of Strategy & Business Operations and the VP of New Glenn Avionics, you'll be embedded at the heart of decision-making - coordinating across engineering, safety, operations, and people teams to ensure our leaders stay focused, informed, and supported. Your impact will ripple across every mission milestone.
What You'll Do
In this role, you'll become an extension of our leadership team, trusted with sensitive information, complex logistics, and mission-critical communication. Your responsibilities will include:
Dual Executive Partnership
Serve as a thought partner and operational right hand to two senior executives with distinct but interconnected priorities
Balance competing demands and deadlines across both portfolios, ensuring each VP receives appropriate support
Maintain situational awareness of both leaders' priorities, anticipating needs and proactively managing shifting demands
Build trusted relationships across internal teams and external partners
Develop effective systems for triaging requests, information flow, and resource allocation between both executives
Calendar & Scheduling Excellence
Manage complex, high-volume calendars across time zones for both executives
Coordinate internal and external meetings with precision, optimizing for priority, flow, and flexibility
Act as gatekeeper and gateway - balancing access with focus time
Ensure efficient coordination between both VPs' calendars for critical joint meetings and decision points
Travel & Logistics
Coordinate detailed domestic and international travel: flights, accommodations, ground transportation, meeting prep, and contingency planning
Manage pre-travel briefing materials and ensure executives are always one step ahead
Submit timely, accurate expense reports aligned with internal policy
Coordinate travel schedules when both executives need to attend the same events or visits
Communication & Confidentiality
Draft, edit, and manage correspondence on behalf of senior leaders - maintaining tone, clarity, and context
Act as a liaison across departments and with internal and external partners, managing sensitive communications with discretion
Handle confidential information and decisions with integrity and tact
Strategic Projects & Priorities
Drive special projects from ideation to execution (e.g., hiring efforts, onboarding programs, team offsites, executive reporting)
Help translate big-picture priorities into actionable steps and ensure follow-through
Improve and evolve internal workflows, templates, and processes
Event Planning & Team Engagement
Plan and execute key internal events including team offsites, technical milestone celebrations, executive reviews, and all-hands meetings
Coordinate logistics, communications, guest management, and post-event follow-up
Develop and lead team morale initiatives - from recognition programs and surprise appreciation moments to inclusive team-building events
Partner with People/HR and site leadership to foster a culture of collaboration, inclusion, and mission-alignment
Track event budgets, success metrics, and feedback to continually improve future experiences
What You Bring
We're looking for a strong mix of experience, poise, and mission alignment:
5+ years supporting senior executives in fast-paced, high-accountability environments (startups, aerospace, tech, VC-backed firms, or similar)
Experience supporting multiple executives simultaneously and balancing competing priorities
Demonstrated success operating with executive-level discretion, trust, and emotional intelligence
Mastery of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); familiarity with Visio, Acrobat, and generative AI platform like Claude or ChatGPT
Strong communication skills: written, verbal, and contextual
Self-starter with strong prioritization skills and the ability to stay grounded under pressure
Ability to adapt to flexible hours and travel schedules with the ability to travel as needed
Bonus Points For
Experience supporting executives in aerospace, engineering, manufacturing, or regulated industries
Operational experience in environments with safety, compliance, or technical documentation
Comfort navigating ambiguity and evolving priorities
Advanced skills in leveraging AI tools to streamline executive workflows and communications

Compensation Range for:
WA applicants is $41.15 - $57.60
