A. General Description of Position Goals Under direction and supervision of the Assistant Superintendent, the Executive Assistant performs highly complex and specialized secretarial and clerical functions, organizes and coordinates the staff activities of the division office. The Executive Assistant serves as a personal secretarial assistant to the Assistant Superintendent, assuming responsibility for administrative and clerical detail.

B. Examples of Duties: 1. Provides highly complex and responsible services as secretary to the Assistant Superintendent performing a wide variety of duties having District-wide impact. 2. Attends to administrative details or special matters as assigned by the administrator. 3. Works with District departments and school sites in coordinating assigned events and activities. 4. Prepares agenda items, confidential closed session items and other related material for the Board of Education meetings. 5. Prepares with the use of current office equipment (computers, typewriters, Xerox copiers, etc.) correspondence, memoranda, reports, meeting minutes and other material as assigned. 6. Provides the services of a receptionist receiving telephone calls and visitors for the administrator. 7. Obtains, interprets, and gives out information to various parties concerning office procedures, functions and policies. 8. Schedule appointments, arrange group meetings, attend assigned meetings, and prepare minutes as required by the administrator. 9. Transmits confidential or sensitive information as directed by Assistant Superintendent. 10. Composes difficult correspondence accurately and independently on a variety of matters. 11. Compiles and types various reports and statistical data as required. 12. Establishes and maintains confidential and complex files as required. 13. Participate in District Negotiations. 14. Receives, sorts, reads, routes and responds to mail, email as required. 15. Orders and issues supplies and equipment. 16. Makes travel arrangements as assigned. 17. Assists in budget planning and expenditure control. 18. Receives and assists employees, parents and community members with complaints and requests for information, referring calls to other staff members when appropriate. *For a complete list of duties, refer to the full job description.

Education: High school diploma or equivalent, supplemented by coursework or training in business office management organization and supervision, and related technical skill areas. 2. Experience: Four (4) years of responsible executive or administrative secretarial experience, including one (1) year in lead or supervisory capacity, training in business office management organization and supervision, and related technical skill areas.

  • Proof of HS Graduation (High School Graduation/GED or Higher)
