Executive Assistant
Position Overview:
LHH Recruiting is seeking a highly organized and detail-oriented Executive Assistant to support the CEO and assist with day-to-day administrative and operational functions with our client in Albuquerque, NM. This role is ideal for someone who thrives in a fast-paced environment, is proactive, and can manage multiple priorities while maintaining a high level of professionalism and discretion.
Key Responsibilities:
- Manage and prioritize the CEO's communications, including reviewing daily voicemails, preparing transcripts, and ensuring timely follow-up within 24 hours
- Answer, screen, and direct incoming calls while maintaining a professional and welcoming front-office presence
- Maintain and coordinate the CEO's calendar, scheduling both internal and external appointments while balancing priorities
- Track and reconcile expense reports for the CEO and staff, including matching receipts and credit card transactions to statements
- Support accounts payable processes using QuickBooks
- Coordinate and arrange quarterly meetings and events
- Organize weekly catering for multiple office locations, along with planning larger monthly, quarterly, and holiday events
- Order and manage office supplies, snacks, and beverages for multiple offices
- Monitor and maintain office security systems, including camera oversight and access controls
- Manage office access by coordinating and updating door codes as needed
- Oversee equipment logistics for field operations, including tracking, deployment, and monitoring alerts for specialized equipment
- Administer and track client-related financial tools (e.g., controlled-use credit cards), including monitoring notifications and expiration timelines
- Provide general administrative and operational support as needed to ensure business continuity
Qualifications:
- 3+ years of Executive Assistant or senior administrative experience supporting leadership at a C-level.
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent verbal and written communication skills
- High level of professionalism, discretion, and attention to detail
- Proficiency with Microsoft Office Suite and QuickBooks (or similar accounting software)
- Ability to work independently and proactively solve problems
Pay Details: $28.00 to $30.00 per hour
