The Opportunity
Integra is seeking a highly capable Executive Assistant to provide strategic administrative and operational support to senior leadership. This role is responsible for optimizing executive effectiveness by managing priorities, protecting time, coordinating communication flow, and reducing day-to-day operational friction.
The Executive Assistant serves as a trusted partner to leadership and must be able to operate with professionalism, discretion, sound judgment, and a high level of ownership. This role requires proactive thinking, adaptability, and the ability to anticipate needs before they arise in a fast-paced, high-visibility environment.
The ideal candidate thrives in complex, rapidly changing environments and is highly skilled in prioritization, coordination, executive communication, and operational execution. This individual must be able to independently manage competing priorities while ensuring leaders remain prepared, organized, and focused on high-value business objectives.
What you will do?
- Manage executive calendars with strategic prioritization and proactive conflict resolution
- Coordinate complex meetings, schedules, and logistics across internal and external stakeholders
- Prepare agendas, briefing materials, presentations, and executive meeting preparation documents
- Manage communication flow on behalf of executives including inbox triage, follow-ups, and prioritization of requests
- Arrange complex travel logistics including flights, hotels, transportation, itineraries, and contingency planning
- Prepare, manage, and reconcile expense reports and executive-related financial documentation
- Act as a primary point of contact and administrative gateway for assigned executives
- Support executive decision-making through organization, preparation, research, and operational coordination
- Coordinate cross-functional meetings, projects, and operational initiatives
- Anticipate scheduling conflicts, operational challenges, and executive needs before escalation
- Maintain confidentiality while handling sensitive business information and executive communications
- Support client interactions, executive readiness, and high-level meeting coordination
- Monitor priorities, deadlines, and follow-through to ensure operational alignment and execution
- Build strong working relationships across departments, leadership teams, clients, and external partners
- Provide high-touch, professional support that enhances executive effectiveness and organizational efficiency
Required Qualifications
- 5+ years of Executive Assistant, executive operations, or high-level administrative support experience required
- Bachelor’s degree preferred
- Proven experience supporting senior leadership in a fast-paced environment
- Strong judgment, prioritization, and decision-making skills
- Excellent written and verbal communication abilities
- High level of professionalism, executive presence, and discretion
- Advanced organizational and multitasking capabilities
- Strong ability to anticipate needs and proactively solve problems
- Proficiency in Microsoft 365 including Outlook, Teams, Word, Excel, and PowerPoint
- Experience managing complex calendars, executive travel, expense reporting, and meeting coordination
- Ability to operate independently with minimal oversight
- Strong relationship-building and interpersonal skills
- Ability to manage competing priorities and rapidly changing schedules with composure and accuracy
- Experience supporting cross-functional coordination and executive-level operations preferred
