We are seeking a high-caliber Executive Assistant to serve as the primary strategic partner and "right hand" to our CEO. This is not a traditional administrative role; we are looking for an "A-player" who thrives in high-performance environments and can turn visionary ideas into precise execution.

The ideal candidate will be a proactive gatekeeper and "force multiplier" who anticipates the CEO's needs, manages the "rhythm" of the business, and ensures the leadership team remains aligned and accountable.

Key Responsibilities: What You’ll Own & Execute

Strategic Partnership & Business Flow

  • Anticipatory Management: Identify potential bottlenecks and solve operational problems before they escalate.

  • The "Focus Points" Strategy: Maintain a focus points document to keep the CEO aligned with the highest-value activities that drive the business forward.

  • Operational Alignment: Translate the CEO’s vision into actionable steps, organizing deadlines and ensuring strategic initiatives maintain momentum.

  • Leadership Liaison: Act as the bridge between the CEO and the Leadership Team, following up on assigned tasks and ensuring they have what they need to succeed.

Advanced Calendar & Time Architecture

  • Calendar Mastery: Proactively manage the CEO’s calendar and commitments, ensuring his time is spent on high-leverage priorities.

  • Transition Buffer: Protect the CEO’s energy by building in transition time between meetings to allow for mental shifts.

  • Meeting Logistics: Schedule all requested meetings, provide proactive reminders, and coordinate with the COO’s assistant for company events or team meals.

High-Level Communication & Documentation

  • Executive Representation: Communicate professionally with clients, suppliers, vendors, and banking contacts on behalf of the CEO.

  • Content & Reporting: Draft and edit written content, prepare appropriate reports, and manage executive correspondence.

  • Meeting Intelligence: Attend key meetings with or on behalf of the CEO, lead them when necessary, and distill notes into company-wide communications when appropriate.

Skills & Qualifications

The Essentials

  • Experience: 4–6 years supporting a high-level executive or leadership team.

  • Technical Suite: Proficiency in MS Office, Google Apps (Sheets, Docs, Gmail), and a working knowledge of QuickBooks.

  • Management Style: Proven ability to "manage up" by holding leadership accountable to their commitments.

  • Composure: Ability to handle strong personalities and high-stakes environments with confidence and discretion.

Required Soft Skills

  • Exceptional Organization & Time Management: Ability to bring order to chaos in a fast-paced environment.

  • Superior Communication: High-level verbal and written skills for both internal and external stakeholders.

  • Proactive Judgment: The ability to discern what requires the CEO’s attention versus what can be handled independently.

Cultural Fit & "Nice to Haves"

  • Personal Character: Sets a high example in work habits and demonstrates a cooperative spirit with all employees.

  • Interests: A passion for water activities is a plus, aligning with our core culture

  • Growth Mindset: An innate willingness to learn and adapt as the company scales.
