Overview:

The C‑Suite Executive Assistant provides high‑impact strategic, administrative and project management support to senior executives within a global life science tools organization.  This role is central to enabling executive effectiveness, ensuring operational excellence, and maintaining seamless communication.  The ideal candidate thrives in a fast‑paced environment and brings exceptional judgment, discretion, and organizational mastery.

Responsibilities:

Executive Support & Strategic Partnership

  • Serve as a trusted partner to C‑suite leaders, anticipating needs, managing priorities, and enabling focus on the highest‑value initiatives.
  • Manage complex, global calendars across multiple time zones, balancing strategic priorities, internal governance, customer engagements, and board‑level commitments.
  • Prepare executives for meetings through briefing materials, agendas, research summaries, and follow‑up tracking.
  • Act as a liaison between the executive and internal/external stakeholders, ensuring timely communication and alignment.

Operational Excellence

  • Coordinate domestic and international travel, including itineraries, logistics, visas, and expense management.
  • Drive preparation and coordination of executive presentations, leadership offsites, quarterly business reviews, and leadership team related materials.
  • Maintain confidentiality of sensitive business information, including M&A activity, financial performance
  • Support operational rhythms such as annual planning, budget cycles, and organizational communications.

Cross‑Functional Collaboration

  • Partner closely with global teams across the enterprise and Executive Assistant to the CEO.
  • Facilitate smooth information flow across the organization, ensuring the executive is informed, prepared, and connected to key initiatives.
  • Build strong relationships with other executive assistants to coordinate enterprise‑wide priorities and events.

Project & Process Management

  • Lead or support special projects, including process improvements, culture initiatives, and cross‑functional programs.
  • Track action items, deadlines, and deliverables to ensure accountability and follow‑through.
  • Identify opportunities to streamline workflows and enhance executive productivity.
Qualifications:

 

Required

  • 7–10+ years of experience supporting senior executives, with at least 3 years supporting C‑suite or equivalent global leadership.
  • Experience in life sciences, biotech, medical devices, pharmaceuticals, or a similarly regulated, science‑driven industry.
  • Exceptional communication skills, both written and verbal, with the ability to represent the executive with professionalism and clarity.
  • Mastery of calendar management, travel coordination, and executive‑level logistics in a global environment.
  • High level of discretion, emotional intelligence, and sound judgment.
  • Strong proficiency with Microsoft 365 (Outlook, Teams, PowerPoint, Excel), virtual collaboration tools, and enterprise systems.

Preferred

  • Experience in a company of comparable scale (10,000–20,000 employees) with global operations.
  • Familiarity with scientific terminology, R&D workflows, or commercial life‑science markets.
  • Bachelor’s degree in business, communications, or related field.
