Executive Administrative Assistant
Complete Care in Southlake is hiring a full-time Executive Administrative Assistant. Join a company that is redefining emergency healthcare. As an Executive Administrative Assistant, you will assist, organize, and complete projects as directed by the senior management team while playing a key role in supporting the overall success and mission of Complete Care. This position offers a unique opportunity to work closely with executive leadership, gaining exposure to high-level operations and strategic initiatives within a fast-growing healthcare organization.
You will support senior management and the Complete Care mission through the coordination and completion of assigned projects. Project involvement may include, but is not limited to, training initiatives, education programs, organizational development efforts, and other high-impact projects that contribute to the continued growth and operational excellence of the organization.
This role is highly visible and collaborative, with direct contact and interaction with senior managers and employees across the organization. Responsibilities:
- Keep senior management informed of project status, including quality, timelines, budgets, and other key deliverables.
- Maintain a high level of confidentiality while interacting with tact and diplomacy in all situations.
- Participate in business development-related activities as directed.
- Assist senior managers in preparing for and coordinating staff meetings and other company-related meetings.
- Prepare reports and correspondence; develop and maintain records; and manage multiple projects simultaneously.
- Respond to needs and assist in the timely resolution of issues related to project management.
- Coordinate meetings and ensure accurate documentation of meeting minutes.
- Answer phones, take messages, and return voicemails in a professional manner.
- Utilize all equipment, supplies, facilities, and resources in an ethical and responsible manner.
Required Knowledge, Skills, and Abilities:
- Ability to work effectively in an environment with frequent interruptions.
- Strong attention to detail.
- Proficient in typing documents quickly and accurately.
- Exceptional verbal and written communication skills.
- Effective team player with the ability to foster collaboration and team building.
- Strong time management skills with the ability to manage multiple priorities and meet deadlines.
- Ability to work independently in a dynamic environment while maintaining excellent customer service.
- Advanced experience with Microsoft Office products.
- Willingness to obtain a Notary Public Commission.
Education and Experience:
- College degree preferred.
- 1–2 years of administrative and customer service experience in the medical field preferred.
- Experience working with various office equipment, including printer/copier/fax, multi-line phone systems, calculators, and related office tools.
