Our client, a respected and growing commercial construction company, is seeking an experienced Executive Assistant to provide high-level administrative and operational support to senior leadership.

Position Overview

The Executive Assistant will support senior leadership by managing executive calendars, coordinating meetings and travel, preparing presentations and reports, tracking action items, and ensuring seamless day-to-day operations.

Working closely with internal teams and external stakeholders, this individual will play a key role in helping leadership stay organized, informed, and focused on strategic business priorities.

Key Responsibilities

  • Manage complex executive calendars, scheduling, meeting coordination, and travel arrangements.
  • Prepare meeting agendas, presentation materials, executive reports, and supporting documentation.
  • Coordinate meeting logistics, record meeting notes, track action items, and follow up on outstanding deliverables.
  • Draft and manage executive correspondence, communications, and confidential documentation.
  • Organize electronic files, executive records, and important business documents.
  • Monitor deadlines, priorities, and key initiatives while helping executives remain organized and prepared.
  • Coordinate communication with employees, clients, consultants, vendors, and business partners in a professional manner.
  • Support confidential projects requiring discretion, sound judgment, and attention to detail.
  • Anticipate executive needs and proactively resolve scheduling and administrative challenges.

Qualifications

  • Minimum of 5 years of experience supporting senior executives in construction, real estate, professional services, engineering, or another fast-paced business environment.
  • Proven experience managing executive calendars, travel, meetings, presentations, and confidential business communications.
  • Exceptional organizational and time management skills with the ability to prioritize multiple competing demands.
  • Outstanding written and verbal communication skills.
  • High level of professionalism, discretion, and confidentiality.
  • Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience preparing presentations, reports, meeting materials, and executive correspondence.
  • Bilingual English/Spanish is strongly preferred.
