Executive Assistant

Job Type: W2 Contract
Contract Duration: 12 Months, Possible Extension
Location: Plano, TX 
Work Schedule: Fully Onsite
Pay Rate: $34.00 - $35.00 per hour

Required Education & Experience

  • Bachelor’s degree
  • Minimum 5 years of Executive Assistant experience supporting VP?level executives and staff

Role Summary

Provide high?level administrative, clerical, and personal support to executive leadership. Manage complex schedules, communications, and travel while handling highly confidential and sensitive information. Coordinate domestic and international meetings, prepare executive?level materials, and serve as a trusted administrative resource to executive leadership.

Key Responsibilities

  • Plan, organize, and prioritize multiple assignments and projects with minimal direction
  • Manage executive calendars, including schedule prioritization, conflict resolution, and meeting logistics (location, A/V, meals, materials)
  • Maintain executive itineraries and screen communications, identifying priority items requiring executive attention
  • Prepare executive?level reports and presentations by compiling and organizing data into clear, comprehensible formats
  • Coordinate domestic and international travel, accommodations, meetings, and VIP visitor arrangements
  • Schedule executive conference rooms, maintain conference room equipment, and coordinate meetings with internal leadership and executive admin staff
  • Perform word processing and prepare presentations, spreadsheets, correspondence, contracts, internal memos, expense reports, and status reports
  • Establish executive?level documentation standards and create templates, styles, and formats
  • Process expense reports accurately and in a timely manner, ensuring correct allocation and budgeting
  • Maintain inventory of assigned property and equipment
  • Prepare personnel transaction documents and ensure access to company benefit and communication materials
  • Maintain network access, applications, and printing support; resolve technical issues for executive leadership
  • Support executive and employee relations by coordinating acknowledgments such as thank?you notes, flowers (per policy), and other communications
  • Participate in projects or committees as needed
  • Support general office operations, including office supplies, department events, and office organization

Skills & Qualifications

  • Bachelor’s degree with 5+ years of EA experience supporting VP?level executives and staff
  • Advanced proficiency creating executive presentations using Excel, Tableau, and PowerPoint, including graphs, tables, and formatted reports
  • Strong verbal and written communication skills for interaction with internal and external stakeholders at all levels
  • Ability to build and maintain effective working relationships with executive leadership, community partners, and industry contacts
  • Strong independent judgment and critical thinking skills with limited direction
  • Ability to read, write, prepare, and interpret executive materials, presentations, contracts, and related documents
  • Proven ability to handle highly confidential and sensitive information
