Overview:

We are seeking a full-time Event Coordinator at Garmin's U.S. headquarters in the Greater Kansas City area. In this role, you will be responsible for coordinating events across multiple departments, maintaining a company-wide events calendar, and supporting associate-facing initiatives in partnership with the Corporate Events team. Individuals in this role are highly organized, proactive, collaborative, resourceful and passionate about helping to coordinate successful events.

Responsibilities:

Essential Functions

  • Coordinate onsite event logistics with Facilities, Security, IT, Garmin Café, Legal, Risk Management, Purchasing, Housekeeping, Creative, Executive Assistants, room owners and other possible event stakeholders
  • Assist with executing events by managing timelines, deliverables, and event objectives
  • Create, maintain, and manage the company-wide events calendar
  • Track and manage internally submitted event forms and reservations
  • Attend and actively participate in cross-functional event planning meetings
  • Communicate with event organizers to clarify requests, provide guidance, and answer questions
  • Proactively identify and resolve scheduling conflicts and event-related issues before they arise
  • Serve as the point of contact for day-of event support and issue resolution
  • Evaluate event processes and recommend improvements to increase efficiency related to calendars, reservations, forms, and communications
  • Support the Corporate Events team with off-site associate events, event communications, inbox management, and distribution of event related items
  • Assist with community events by supporting registration, logistics, creative coordination, vendor communication, collaboration with internal teams including Purchasing, Legal, and Risk Management and day of event related coordination as needed
  • Maintain knowledge of the requirements and logistics associated with a wide variety of events
  • Maintain and update a list of approved and prospective vendors
  • Collaborate professionally with associates and external stakeholders to deliver excellent customer service and achieve event goals
  • Local travel within the Kansas City Metro area as needed
Qualifications:

Basic Qualifications

  • High School Diploma or GED AND a minimum of 1 year of experience relevant to the essential functions of this role
  • Ability and willingness to perform physical event-related tasks, including setup, teardown, and distribution of event materials
  • Ability to bend, twist, and safely lift to fifty-five pounds using proper lifting techniques
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
  • Strong verbal, written, and interpersonal communication skills
  • Excellent organizational, analytical, and problem-solving skills with strong attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Self-motivated, resourceful, detail-oriented, and team-focused with a positive attitude
  • Demonstrated passion for events and associate engagement
  • Ability to maintain confidentiality regarding business operations, events, and Human Resources matters
  • Available to work evenings and weekends as needed
  • Ability to travel locally, including occasional pick-up and transportation of event supplies
  • Valid Driver's License
