Job Title Event Specialist, Presidential and Signature Events Full Time / Part Time Full Time Job Type Staff Reports To Senior Director, Presidential and Signature Events Position Summary

The Event Specialist, Presidential and Signature Events supports the planning and execution of Presidential, strategic, and signature events that advance the University's mission, visibility, and strategic priorities. Reporting to the Senior Director, this position provides logistical coordination, administrative support, and on-site execution assistance for high-profile University events, including those hosted by the President's Office.

Working as part of the Office of Presidential and Strategic Events, the Event Specialist contributes to events that are Presidential in nature or designated as strategic or signature by the President. This role collaborates closely with internal partners and external vendors to ensure events are delivered with professionalism, consistency, and attention to detail.

Principal Accountabilities

Event Planning & Execution Support

  • Support the planning and delivery of Presidential and strategic events, including Board of Trustee meetings, Convocation, Commencement, institutional summits, dedications, groundbreakings, and ceremonial functions.
  • Assist with event logistics from concept through execution, including timelines, run-of-show documents, vendor coordination, and on-site event support.
  • Prepare event materials such as agendas, guest lists, seating diagrams, signage, briefing documents, and correspondence.
  • Provide on-site support during events to ensure smooth execution and assist with real-time issue resolution.
  • Participate in post-event debriefs and documentation to support continuous improvement.

Coordination & Collaboration

  • Work in close partnership with the Senior Director and Associate Director to support planning priorities and execution needs.
  • Collaborate with internal stakeholders across the President's Division, University Advancement, Academic Affairs, Student Affairs, Facilities, Campus Safety, and other campus partners.
  • Coordinate with vendors, caterers, and service providers to confirm logistics, schedules, and deliverables.
  • Support communications with invited guests, speakers, and VIP attendees to ensure a positive and professional experience.

Administrative & Operational Support

  • Assist with event documentation and tracking, including timelines, contact lists, budgets, and post-event summaries.
  • Support basic budget monitoring and invoice processing in alignment with University policies and procedures.
  • Utilize University event management and space scheduling systems to support event coordination.
  • Maintain organized records and templates to support efficient event operations.

Qualifications

Qualifications

  • Bachelor's degree in event management, hospitality, communications, public relations, or a related field.
  • 1-3 years of experience supporting events, hospitality operations, project coordination, or a related professional environment; experience with executive-level events and/or higher education event experience preferred.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • High level of discretion, professionalism, and sound judgment, particularly when supporting executive-level events.
  • Proficiency with standard office technology and productivity tools.
  • Willingness to work non-standard hours, including evenings and weekends, during peak event periods.
