Summary of the Role:
The Orangery seeks an Event Manager to support event operations at one of our corporate restaurant concepts that resides within a multi-tenant office complex. The ideal candidate demonstrates initiative, enthusiasm, exceptional customer service and organization skills, with strong attention to detail. Event Managers collaborate with internal teams and external partners, handle client or stakeholder communication, and troubleshoot issues to deliver memorable, high-quality experiences.
Key Responsibilities:
Venue and Vendor Management:
- Cultivate positive working relationships with event vendors (ie. rental company, staffing agencies, floral companies)
- Act as onsite contact for F&B and service for clientele, providing support throughout events alongside venue management team
- Work with hospitality and event operations team to coordinate venue preparations for programs
- Develop interest in Old Parkland history, art and architecture for awareness and tours as needed
Event Logistics & Service Standards
- Logistical arrangements leading up to events and group reservations
- Coordinate menu selections and preferences with hospitality and culinary teams
- Deliver a consistent, outstanding customer service experience
- Anticipate and address emerging issues as event approaches
- Schedule appropriate staff and ensure campus service standards are upheld throughout event
- Generate rental orders when additional tabletop items are needed (linens, bar facades, specialty items, glassware, etc.)
- Onsite execution for events at The Orangery
- Responsible for room setups; assuring room configurations are correct, ready 30 minutes prior to event start
- Greet and provide directional assistance to all event guests as needed, be a welcoming first impression and continued lead throughout event
- Knowledgeable in answering site specific questions regarding local amenities
- Perform set-up and clean-up for event as needed, straightening chairs, ownership of space
Administrative Operations
- Develop menus and proposals in Triple seat for client approval
- Communications with event hosts and associated hospitality and culinary teams
- Invoicing following events
Desired Skills & Experience:
- Superior verbal and written communication skills, especially customer friendly communications
- Outstanding customer service skills, with country club experience ideal
- Ability to prioritize, support, and anticipate the needs of various clients and company stakeholders
- Extraordinary interpersonal skills; ability to work independently and collaborate effectively with internal business groups and external partners
- Familiarity and confidence with speaking to high-profile guests and C-Level executives
- High integrity and discretion
- Confidential, empathetic and diplomatic in all interactions; demonstrates flexibility and good instincts
- Highly proficient in MS Office (Outlook, Word, Excel, PowerPoint), Experience with Adobe InDesign and Photoshop a plus
- Willingness to learn event management and Customer Relationship Management (CRM) software
- Possess superb time management, organization, and communication skills, with a high degree of ownership
- Experience working in technical/audiovisual environment
- Ability to work independently, prioritize effectively and make decisions
- Ability to adapt quickly to change and maintain a flexible approach when providing customer support
- Attention to detail and multi-tasking skills
- Ability to work irregular and sometimes long hours as well as some weekends
- Ability to withstand long periods of standing and/or walking; be able to lift up to 30 lbs
- Flexibility to work evenings and weekends.
