ETHICS ADMINISTRATOR
CLASSIFICATION TITLE: ETHICS ADMINISTRATOR
PURPOSE OF CLASSIFICATION
The purpose of this classification is to provide comprehensive, complex, administrative support to the Ethics Board. The ethics administrator shall be selected by the board of ethics and shall serve at the pleasure of the board.
ESSENTIAL FUNCTIONS
The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.
- Maintains the records of the Board of Ethics as required by Article 4 of Chapter 18 of Title 50 of the O.C.G.A.
- Notifies the subject of a report of any alleged violation of ethics code, whether the report is anonymous, made by an identified individual, or written; such notice shall be given in writing to the subject of the complaint at the same time and in the same form that any disclosure of information is required by Article 4 of Chapter 18 of Title 50 of the O.C.G.A.
- Notifies the Board of Ethics of any report of an alleged violation of the ethics code received.
- Receives ethics complaints for submission to the ethics boards, reviews decisions made by the Board of Ethics, and follows up as needed. Responds to phone calls, mail, and other forms of communication, taking appropriate actions and providing necessary responses. Records dictation, and prepares, types, edits, and proofreads correspondence. Records and/or transcribes statements, minutes, letters, or other documents. Keeps the Board of Ethics informed of important matters, messages, documentation, and other relevant information.
- Greets employees and the general public; provides information and assistance regarding the submission of ethics complaints, procedures, documentation, or other issues on the phone, via email, or in person; distributes forms and documentation; responds to inquiries.
- Serves as liaison and point of contact for employees, contractors, of, and the general public for ethics matters; receives, date stamps, and distributes hand-delivered and special delivery documents; accepts service of process on behalf of the Board of Ethics.
- Maintains file system of various files and records; prepares files; organizes documentation, and files documents in designated order; retrieves and replaces files; enters records and documentation into computer; updates and verifies accuracy of information entered; prepares files for investigations and hearings; ensures all documentation and records are included in files; closes files as needed.
- Maintains and prepares calendars; schedules and confirms appointments, meetings, interviews, trainings, hearings, and related activities; creates, distributes, and updates calendar on a regular basis; notifies parties involved of changes.
- Uses a personal computer to input, access, review, or update data, utilizing software such as word processing, spreadsheets, databases, presentations, internet, email, and other tools; also operates general office or other equipment as required to complete key tasks.
- \u00b7Process various documentation related to operations, ensuring tasks are completed within set timeframes and according to established procedures. This includes receiving, reviewing, and processing reports, budget records, attendance logs, and other documents. Reviews, completes, processes, forwards, or retains materials as necessary.
- Prepares or finalizes forms, reports, correspondence, and other documents such as strategic plans, quarterly and annual reports, and performance evaluations. Gathers data for further processing or assisting in creating department reports and maintains both electronic and physical records.
- Communicate with County officials, supervisors, staff members, attorneys, the public, and other relevant individuals to coordinate work activities, assess work progress, exchange information, and address any issues.
ADDITIONAL FUNCTIONS
Performs other related duties as assigned.
Minimum Qualifications
Bachelor's degree in Human Resources, Business Administration, Public Administration, or other related field; supplemented by five (5) years of progressively responsible administrative experience; experience in legal or court setting or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. The ethics administrator shall not be involved in partisan or nonpartisan political activities or the political affairs of Clayton County.
Licenses or Certifications:
Must possess and maintain a valid Georgia driver's license.

Knowledge, Skills, and Abilities:
- Knowledge of local government operations, ethics and legal related programs, policies and plans, and modern office practices and procedures.
- Knowledge of Microsoft Word, Excel, PowerPoint, and other similar programs.
- Skill in the use of computers and software applications related to the essential functions of the job.
- Skill in effective communication, both verbally and in writing.
- Ability to meet and deal with employees and the public in an effective and courteous manner.
- Ability to get along with others and work effectively with the public and co-workers.
- Ability to work flexible hours, including evening meetings.

ADA COMPLIANCE
Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may include extended periods of time at a keyboard or workstation.
Sensory Requirements: Some tasks require the ability to perceive and discriminate visual cues or signals. Some tasks require the ability to communicate orally.
Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
