    Position Overview

    The Estimating Administrator plays a critical support role within the estimating department, helping ensure the smooth coordination, organization, and submission of competitive project bids. This position works closely with estimators, subcontractors, and vendors throughout the bid process.


    Key Responsibilities

    Estimating & Bid Support

    • Assist in the preparation and solicitation of project cost estimates
    • Organize and distribute project documents and bid packages
    • Support the estimating team in assembling proposals and presentations

    Vendor & Subcontractor Coordination

    • Solicit subcontractors and vendors for pricing
    • Distribute plans/specs and follow up via phone and email
    • Maintain and expand vendor and subcontractor databases

    Data & Documentation Management

    • Maintain historical pricing and estimating databases
    • Track contractor prequalification information
    • Ensure all bid documentation is accurate, organized, and accessible

    Administrative Coordination

    • Manage and update the bid calendar in coordination with leadership
    • Assist with delivery of bid packages and attendance at bid openings as needed
    • Support ongoing outreach to prospective subcontractors and vendors

    Compliance & Process Support

    • Ensure adherence to company standards and industry regulations
    • Maintain confidentiality of sensitive pricing and bid information

    Qualifications

    • Strong organizational skills and attention to detail
    • Ability to manage multiple deadlines in a fast-paced environment
    • Effective communication skills (written and verbal)
    • Strong problem-solving and analytical abilities
    • Ability to collaborate with internal teams and external partners

    Preferred Background

    • Bachelor's degree in Construction Management, Engineering, Business, or related field (preferred)
    • Prior experience in construction, estimating support, or administrative roles (preferred)
    • Familiarity with construction terminology and processes is a plus

    Technical Skills

    • Proficiency in Microsoft Office (Excel, Word, Outlook)
    • Experience with Bluebeam is a plus
    • Strong document management and organizational capabilities

    Work Environment & Schedule

    • Primarily office-based with occasional site visits or pre-bid meetings
    • Fast-paced environment with multiple deadlines and bid schedules
    • Monday Friday schedule, with additional hours as needed for bid deadlines
    • Occasional local travel within the DMV region
