Escrow Assistant-Settlement Coordinator

Role Summary: The Escrow Assistant provides high-level administrative support to the Escrow Closer/Settlement Officer. This role focuses on the "pre-closing" phase-gathering data, clearing title requirements, and ensuringthe file is ready for the closing table.

Key Responsibilities
  • File Opening: Input new orders into production software (e.g., Qualia, SoftPro, or RamQuest) and order title searches and tax certifications.
  • Requirement Clearing: Review title commitments to identify and clear liens, judgments, and HOA requirements.
  • Coordination: Communicate daily with real estate agents, lenders, and attorneys to gather "payoff demands" and homeowner insurance information.
  • Document Preparation: Assist in preparing preliminary Closing Disclosures (CD) and ALTA Settlement Statements in accordance with TIRBOP rates.
  • Post-Closing: Package loan documents for lenders and coordinate the recording of deeds and mortgages with the County Recorder of Deeds via e-recording platforms.
Requirements & Qualifications
  • Education: High school diploma required; Associate's or Bachelor's in Business/Finance preferred.
  • Notary Public: Must hold a current Pennsylvania Notary Commission (or be eligible to obtain one within 30 days).
  • Regulatory Knowledge: Familiarity with RESPA/CFPB integrated disclosure rules.
