ERP Order Management & Administrative Coordinator

A Day in the Role
Start your morning by reviewing overnight activity in our ERP (IQMS or a comparable system), entering new customer orders with precision, and confirming shipment and delivery dates. Throughout the day, you’ll keep customers informed with proactive updates, collaborate with teammates on special projects, and ensure our weekly KPI reporting is prepared and shared. You’ll switch seamlessly between supporting AP/AR tasks—like cash application, invoice entry, and statement reconciliations—and being the friendly voice that directs incoming calls. Your organized approach keeps both our electronic and paper files tidy and accessible, while your professional, can-do attitude helps the entire office operate smoothly.
What You’ll Do
- Accurately enter and maintain customer orders in the ERP
- Confirm shipment and delivery timelines with customers
- Share proactive updates on order status and requirements
- Prepare and distribute weekly KPI reports
- Support Accounts Payable and Accounts Receivable activities
- Process cash applications and keep precise records
- Reconcile customer and vendor statements
- Enter and process invoices within the accounting platform
- Answer and route incoming calls professionally
- Maintain organized electronic and physical filing systems
- Provide administrative support to staff and leadership
- Contribute to special projects and additional duties as needed
What You Bring
- Advanced skills with Microsoft Excel and Microsoft 365
- Hands-on experience with ERP systems (IQMS or similar preferred)
- Background in customer service with excellent communication
- Exceptional organization and attention to detail
- Ability to manage multiple priorities in a fast-paced setting
- Basic accounting knowledge; AP/AR experience is a plus
