SUMMARY

In support of the university's mission and objectives, the Enrollment Coordinator provides administrative and operational support for the University's Dual Enrollment Partnership (DEP) program by coordinating registrar-related processes between the University, participating high schools, and academic departments. This position ensures compliance with institutional policies, accreditation standards, and state regulations while maintaining accurate student and course records.

The coordinator serves as a central point of contact for dual enrollment registrar operations, including instructor credentialing, course approvals, student enrollment processing, academic calendar coordination, records management, documentation, and research. The position also assists in various registrar office projects for student records.

Dual-Enrollment Partnership Program

  • Operations & Enrollments

  • Processes and monitors dual enrollment student courses, registration changes, withdrawals, and academic record updates.

  • Coordinates registration timelines and ensure deadlines are met.

  • Reviews instructor syllabi for fall semester, spring semester, and summer term.

  • Reviews student transcripts for satisfactory weighted GPAs for course enrollment.

  • Maintains accurate course sections and instructors' assignments within Jenzabar.

  • Instructor Credentialing & Course Administration

  • Collects, reviews, and maintains instructor credential documentation in accordance with institutional and accreditation requirements.

  • Coordinates approval workflows for dual enrollment instructors with academic departments.

  • Assists with course approval documentation and ensures curriculum syllabi aligns with university standards.

  • Maintains records of approved instructors and approved course offerings.

  • Academic Compliance & Documentation

  • Maintains documentation supporting instructor qualifications, syllabi, approvals, course offerings, and compliance requirements.

  • Prepares credentialing materials and supporting documentation for audits, accreditation reviews, and program assessments.

  • Assists with the preparation of reports for audits, accreditation reviews, and program assessments for the DEP program.

  • Communication & Partnership Support

  • Develops and maintains the dual enrollment academic calendar in alignment with PBA's academic calendar.

  • Provides guidance regarding enrollment, registration, grades, accommodations, withdrawals, and academic procedures.

  • Coordinates academic calendars, registration schedules, grading deadlines, and key dates with participating schools and university departments. Supports the onboarding of new DEP instructors in accessing myPBA Faculty Tools & Canvas in conjunction with Online Learning.

  • Reporting & Continuous Improvement

  • Responds to inquiries regarding Registrar processes, policies, and procedures regarding accommodations, grades, withdrawals, waivers, etc.

  • Compiles data and prepares reports related to enrollment, instructor approvals, course offerings, and program effectiveness to support operational reporting and leadership decision-making.

  • Communicates with DEP schools for course availability and textbook requirements.

  • Assists with developing and updating operational procedures and documentation.

  • Participates in DEP program related projects, as needed.

  • Cross trains with DEP Liaison for coverage.

  • Performs other duties as assigned in support of enrollment and student records operations.

Registrar Operations Support

  • Support Registrar's Office initiatives related to student records, retention reporting, transcript processing, diploma administration, and degree audit maintenance.
  • Assist in maintaining the accuracy, integrity, and confidentiality of academic records.
  • Supports other projects as assigned.

EDUCATION

Bachelor's degree in education, higher education administration, business administration, or other related field required; master's degree preferred, or equivalent experience.

EXPERIENCE

1+ years of higher education administration, academic support required; management of academic projects preferred. Experience working in a Registrar's Office or dual enrollment program preferred. Experience working with student information systems and customer relationship management systems.
