Jot Title: Enrollment Coordinator

Reports to: Enrollment Manager

Location: Wayside Schools

Salary: $45,000-$50,000

ABOUT WAYSIDE SCHOOLS: Wayside Schools is an open-enrollment, tuition-free Pre-K3-12th grade public charter school network that provides over 1,900 scholars across its three South Austin campuses with a rigorous education. Since 2012, Wayside schools has striven to empower historically underserved scholars, providing them with the instructional experiences, academics skills, intellectual habits and social and emotional competencies needed to become graduates from four-year colleges and universities, providing them with the access and opportunities they need to narrate their own futures and positively impact and empower the families and communities to which they belong.

JOB GOAL: The Enrollment Coordinator will support the school's community-focused enrollment efforts, including student recruitment and retention initiatives. This role will assist in coordinating outreach to prospective scholars and parents by helping implement engagement strategies within a limited budget. The Enrollment Coordinator will also help build and maintain positive relationships with local schools and educational non-profits to support Wayside Schools' enrollment and recruitment goals.

QUALIFICATIONS

Education

  • Bachelor's Degree from an accredited four-year educational institution (Preferred)

Experience

  • A minimum of 1+ years of experience in student enrollment or similar role in education or similar organization.
  • A minimum of 1+ years' experience in marketing, outreach, or development
  • Strong cultural competency skills, including the ability to communicate and work effectively with a diverse population.
  • Bilingual (Spanish Required)

PERFORMANCE RESPONSIBILITIES AND DUTIES

I. Enrollment/ Student Recruitment

  • Receive incoming calls and/or host visits from those inquiring about the school
  • Call prospective families to coordinate school visits and give information
  • Review incoming applications
  • Determine ways to communicate with and organize waitlisted-families
  • Guide prospective families through the school selection and enrollment process
  • Provide enrollment counseling to incoming students and families
  • Serves as the point person for application questions from the parent community and the campus staff, maintaining knowledge of the application and lottery rules
  • Serve as a liaison to parents and facilitate information sessions about Wayside Schools
  • Participate at feeder school fairs and will be responsible for planning and executing events in the community
  • Give presentations at community meetings and neighborhood events, and may be required to represent Wayside Schools in television and radio interviews
  • Host regular tours and special events to invite community members to learn about Wayside Schools
  • Coordinate and monitor recruitment event timelines and ensure deadlines are met
  • Secures and represents Wayside Schools at events to promote scholar enrollment
  • Establish presence in the community for outreach and recruiting purposes
  • Collaborates with campus leadership to align enrollment process for families
  • Monitors campus specific recruitment efforts and implements strategies as directed by supervisor

Retention

  • Communicates with campuses regarding student enrollment for retention and recruitment purposes
  • Lead or assists in various projects as needed
  • Leads campus re-enrollment efforts collaborating with campus leadership to ensure Network enrollment is met
  • Monitors campus specific retention efforts and implements strategies as directed by supervisor
  • Ensures proper follow-up and assistance if needed
  • Collaborates with campus leadership to follow through on documentation for withdraws
  • Coordinate and execute events for enrolled scholars and families to help with retention
  • Other duties as assigned

Professionalism

  • Create reports for families, stakeholders, school board, and the community at large
  • Manage all data related to scholar recruitment and retention, and provide detailed analysis of the data on a weekly, monthly, quarterly, and annual basis
  • Prepare and analyze a variety of reports including, but not limited to student attendance, enrollment student retention, and student data
  • Collaborates with the communications manager to carry out marketing strategies to build the branding and reputation for Wayside Schools
  • Weekly meetings with different departments to develop recruitment and retention plans
  • Coordinates interviews and media interest including newspaper advertisements and event promotions
  • Oversee scholar enrollment software, to include assistance with all processes for parent and campus personnel
  • Mastery of the scholar enrollment software, including navigation of all functions and leadership of Wayside team in utilizing the software
  • Develop and implement policies, procedures, and systems related to enrollment and retainment
  • Participate in approved professional development to improve skills related to job assignment
  • Adhere to ethical and legal standards and model behavior that is professional and responsible
  • Spanish translation for Network wide communication with families
  • Other duties as assigned

II. Management and Leadership

  • No direct supervision
  • Train and collaborate with campus operations team on enrollment strategies
  • Actively serve on Network's leadership team committees
  • Other duties as assigned, based on the needs of the Network, campuses, or scholars.

IV. Board Meetings

  • Assume the role of the Enrollment Manager in their absence at board meetings.

  • Wayside Schools handbooks and procedures manuals: Work with administrators to check and assist with adherence in all areas. Suggest changes to documents as necessary.

PHYSICAL DEMANDS/ENVIRONMENTAL FACTORS

  • Frequent prolonged and irregular hours of duty;

  • Endure possible inclement weather conditions to provide for student safety.

The office hours are 8:00 am to 5:00 pm, however, from time to time may work an extended schedule, including weekends and evenings according to demands of the role and tasks.
