The Elementary Administrative Assistant plays a vital role in ensuring the smooth operation of the school office. This position involves various administrative tasks that support the school's educational mission while providing excellent service to students, parents, and staff.

RESPONSIBILITIES:

Answer and direct phone calls and visitors, ensuring safety and security at all times.

Handle inquiries from parents, students, staff, and the community.

Support the school's student registration process and maintain accurate records.

Maintain student records and reporting, including attendance and discipline data.

Assist in the preparation of correspondence, reports, and documentation for school administration.

Provide basic first aid, administer medications to students, and support school nurses with record keeping.

Maintain petty cash and collect food service payments, student fees, and fines.

Assist in coordinating schedules, meetings, and events for staff, including field trips, school photos, etc.

Provide support for school activities, including organizing materials and tracking students' participation.

Coordinate daily announcements and mail.

Ensure the office is stocked with the necessary supplies and resources.

Provide support for school events, including 5 th grade graduation, Title I family activities, etc.

Assist in coordinating the annual student census and enrollment reporting.

Coordinate classroom substitutes and coverage for staff.

Support and work with the transportation department, summer school, etc.

Serve as the District's partnership coordinator.

Collaborate with the administrative assistant team on establishing and creating efficient office procedures and forms.

Update and maintain school supply lists, school handbook, etc.

Assist administration and staff with start and end of school year tasks as requested.

Supervise students as necessary or requested.

Any and all other duties that may be assigned by the administration or supervisor.

QUALIFICATIONS:

High school diploma or equivalent; additional education in administrative or related field is preferred.

1-3 years' experience as an administrative assistant or similar role, preferably in an educational setting.

Excellent computer skills and ability to learn and use multiple software programs including Windows, Google, Microsoft

Office, Skyward, and other relevant software applications.

Strong organizational skills and attention to detail with the ability to multitask and prioritize effectively in a fast-paced

environment.

Excellent verbal and written communication skills. Ability to convey information accurately and efficiently.

Strong interpersonal and problem-solving abilities. Display professionalism and build positive relationships with

students, parents, and staff.

Ability to maintain confidentiality and uphold ethical standards with sensitive information.

Collaboration and adaptability skills, adjusting to an ever-changing school environment.
