Opportunity:
Holden Forests & Gardens is seeking a highly collaborative, customer-facing administrative coordinator to serve as the hub of day-to-day operations for education programs across both the Holden Arboretum and the Cleveland Botanical Garden. This role requires consistent and accurate responsiveness, strong organization, and flexibility as priorities shift.
The Administrative Coordinator receives and processes all education inquiries and registrations; handles all group tour and program requests; manages the finances and logistics associated with scheduling/charging for educational programming; provides program and financial reports and performs other office support as required. This position supports the Education department, manages program registration, and offers excellent customer service and communication.

Key Responsibilities
Key responsibilities of the Administrative Coordinator include, but not limited to:
- Provide friendly, clear, and courteous customer service to encourage return visitation
- Handle inquiries, provide program information, and resolve guest complaints professionally
- Coordinate multiple forms of communication and route internal/external communications appropriately
- Oversee registration, communication, and coordination for education classes, programs, events, and group tours, ensuring accurate participant details and timely fulfillment of all requests
- Assist the Adult Program Coordinator with the logistics of class offerings, details, finances, and reporting
- Monitor and maintain program booking details
- Work closely with Guest Services at both campuses to ensure efficient and accurate processes
- Invoice, accept, and process education payments; coordinate with Finance for accuracy and reporting
- Compile, analyze, and summarize statistical and revenue data; produce weekly, monthly, quarterly, and annual reports
- Maintain the registration database and recommend improvements for efficiency
- Maintain organized records and a complete, up-to-date file of SOPs
- Assist staff with special projects and provide general support as needed

Qualifications and Skills:
Required:
- Demonstrate a passion for people and nature
- High school diploma or equivalent, required
- Strong customer service skills and experience working with the public
- Highly proficient with the use of Microsoft 365 products, specifically Teams, Outlook email, and calendar
- Highly proficient in Word, PowerPoint, and Excel, with the ability to produce and use data tables and charts
- Experience with cloud-based enterprise business applications for managing invoices, budgeting, CRM, and other business processes
- Effective and appropriate verbal and written communication
- Ability to work within a team and be self-motivated when working independently
- Ability to take initiative and problem-solve
- Detail-oriented; strong organizational and interpersonal skills
- Demonstrated ability to meet deadlines, adapt to shifting priorities and seasonal fluctuations in volume of work, and work on a team
- Must have a valid drivers license or reliable transportation to get from one campus to another
Preferred:
- Two years of post-secondary education in business or office administration, a plus
- At least two years of administrative experience, preferred
