COMPENSATION & SCHEDULE
• Pay range: $21/hr
• Hours: Monday – Thursday, 8:00 PM – 5:00 AM
• Start Date: ASAP- Temp (120 days)
ROLE IMPACT
The Document Specialist plays a critical support role within Housing Operations & Client Services, managing front-line communication and documentation workflows. This position ensures efficient intake, processing, and distribution of housing-related documents, directly supporting client services and compliance functions.
KEY RESPONSIBILITIES
• Answer and route department calls using discretion and professionalism
• Greet visitors, determine purpose, and direct to appropriate staff
• Prepare, scan, and maintain files and documentation for housing programs
• Schedule and follow up on hearings, ensuring completion and proper communication of results
• Reconcile HAP and repayment reports and notify counselors of delinquent accounts
• Process passed inspections and notify relevant stakeholders
• Draft and distribute participant and landlord notices including rent changes and eligibility updates
• Compile and deliver packets for briefings, reexaminations, and owner communications
MINIMUM QUALIFICATIONS
• High school diploma or GED required
• 1+ years general clerical experience or equivalent education/experience
• Valid Texas driver’s license; fewer than 3 moving violations in past 3 years
• Eligible for FWHS fleet insurance coverage
CORE TOOLS & SYSTEMS
• Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Microsoft Teams, Microsoft 365
• Document Management Systems
• Typing speed: minimum 35 WPM
• 10-key proficiency
EQUIPMENT & WORK ENVIRONMENT
• Must be able to lift and/or move up to 25 lbs
• Position requires sitting, standing, bending, walking, and computer use
• Quiet office environment with onsite and offsite meeting attendance as needed
PREFERRED SKILLS
• Bilingual (English/Spanish) preferred
• Experience handling confidential documents in a public housing or nonprofit setting
• Familiarity with housing assistance programs or municipal agencies
COMPLIANCE REQUIREMENTS
• Pre-employment background check and drug screen required
