DOCUMENT CONTROLS MANAGER, INDUSTRIAL

The Document Controls Manager is a hands-on leadership role responsible for executing, managing, and continuously improving document control functions across large-scale industrial, energy, infrastructure, manufacturing, mining, and EPC projects. This position combines strategic oversight with day-to-day operational involvement, ensuring project documentation is accurate, controlled, auditable, and readily available to support project execution.

QUALIFICATIONS

Required

  • Bachelor's degree in information management, Construction Management, Engineering, Business, or 7+ years of related industry experience.
  • 7+ years of document control experience supporting large industrial or EPC projects.
  • Demonstrated experience working directly within project execution environments
  • Solid understanding of construction processes, sequencing, and project delivery methods.
  • Extensive experience managing high-volume engineering and construction documentation.
  • Proven experience implementing and administering enterprise EDMS solutions

Preferred

  • Experience leading or supervising document control teams.
  • Experience designing, implementing, and administering SharePoint environments supporting project document management and collaboration.
  • Knowledge of Construction Industry Institute (CII) best practices and information management principles.
  • Experience supporting digital project delivery initiatives.
  • Experience developing standardized folder structures, metadata frameworks, document numbering systems, naming conventions, and records retention practices.
  • Experience with Power BI or other reporting and analytics tools.

RESPONSIBILITIES AND TASKS

Document Control Leadership & Governance

  • Lead document control operations across multiple projects while establishing consistency, quality, and compliance with company and client requirements.
  • Develop, implement, and continuously improve document control standards, procedures, and governance practices.
  • Establish standardized document numbering, metadata, naming conventions, retention requirements, and document lifecycle processes.
  • Mentor, coach, and provide technical leadership to document control personnel and project teams.
  • Promote document control best practices that support operational excellence and digital project delivery.

Document Management & Project Execution

  • Oversee the receipt, review, distribution, tracking, storage, retrieval, and archival of project documentation.
  • Ensure revisions, transmittals, approvals, and document workflows are processed accurately and within required timelines.
  • Maintain document integrity through effective version control, audit trails, and document status reporting.
  • Support project teams by ensuring timely access to current project documentation throughout all phases of construction.
  • Coordinate document turnover and closeout deliverables in accordance with contractual requirements.

Systems Administration & Continuous Improvement

  • Administer, maintain, and optimize Enterprise Document Management Systems (EDMS) and related collaboration platforms.
  • Evaluate and implement process improvements that enhance efficiency, reporting, accessibility, and data quality.
  • Support digital transformation initiatives by leveraging technology to improve information management processes.
  • Develop dashboards, reports, and performance metrics to monitor document control effectiveness.
  • Recommend automation opportunities that improve document workflows and user experience.

Compliance, Quality & Risk Management

  • Ensure compliance with contractual obligations, regulatory requirements, and internal document control standards.
  • Conduct periodic audits to verify document accuracy, completeness, and adherence to established procedures.
  • Identify documentation risks and develop mitigation strategies that support project success.
  • Support internal, external, client, and regulatory audits by providing accurate project documentation.
  • Maintain records management practices that support legal, contractual, and quality requirements.

Stakeholder Partnership & Client Support

  • Partner with project management, engineering, procurement, construction, quality, and client representatives to coordinate document deliverables.
  • Serve as the organization's subject matter expert for document control systems, standards, and best practices.
  • Facilitate communication regarding document status, outstanding deliverables, and project milestones.
  • Support project startup activities by establishing document control plans and project-specific workflows.
  • Build collaborative relationships that promote consistency and successful project execution.

Other Responsibilities

  • Actively contribute as a member of the Industrial team, supporting shared goals and strategic initiatives.
  • Participate in business development activities, including client functions, industry conferences, and networking events.
  • Foster relationships with clients, architects, engineers, consultants, and subcontractors.
  • Attend project management meetings, company meetings, and applicable training opportunities.
  • Support Lean initiatives and uphold The McGough Way.
  • Maintain awareness of emerging document management technologies and industry best practices.
  • Perform other duties as assigned.

OFFICE AND TRAVEL

Works in regional office with periodic regional travel. In addition to regional meetings and some overnight travel may be required.

The role also requires occasional visits to construction sites, where the employee may be exposed to dust, dirt, uneven surfaces, outdoor weather conditions, and extreme temperatures.

  • In alignment with our commitment to pay transparency, the base salary range for this position is $120,000 to $150,000, excluding fringe benefits or potential bonuses. If you join McGough, your final base salary will be determined by several factors, including geography, location, skills, education, and experience. Furthermore, we place significant value on pay equity among our current team members as part of any final job offer.

Please note that the range provided above reflects the hiring range for this role. Hiring near the top end of this range would be atypical, as we aim to allow room for future salary growth.
