Document Control Specialist - Operations & Supply Chain (Contractor)

The Operations & Supply Chain Document Control Analyst is responsible for managing product, Supply-Chain, Engineering (ECO's) and compliance documentation across the organization. This role ensures accuracy, timeliness, and control of all documents supporting manufacturing, procurement, and logistics processes. The Analyst works closely with Engineering, Procurement, Quality, and Manufacturing teams to maintain data integrity throughout the product lifecycle, enabling operational excellence and supplier alignment.

Key Responsibilities

  • Own and maintain supply chain and operations-related documentation, including bills of materials (BOMs), supplier specifications, compliance certs, and process documents.
  • Administer the document control system (PLM-Arena), ensuring version control, audit trails, and accessibility across global teams.
  • Support new product introduction (NPI) by coordinating supply chain documentation readiness, ensuring suppliers have accurate and current product requirements.
  • Partner with Procurement and Supplier Quality to manage supplier documents (compliance certs, test reports, RoHS, REACH, WEEE, conflict minerals, Trade, etc.).
  • Ensure documentation complies with regulatory, customer, and internal quality requirements.
  • Monitor aging product and supply chain documentation, identifying and addressing outdated records.
  • Track and report on document control KPIs for Operations and Supply Chain (e.g., document cycle times, audit findings, error rates).
  • Support supplier and customer audits by ensuring availability of controlled documentation.
  • Train and support Operations and Supply Chain staff in document control standards and tools.

Qualifications

  • Experience in Operations, Business, or related field (or equivalent experience).
  • 3-5 years of document control, supply chain operations, or quality management experience (preferably in networking hardware, semiconductors, or high-tech manufacturing).
  • Strong understanding of BOM structures, engineering change management, and supplier documentation requirements.
  • Experience with PLM and ERP systems (e.g., Oracle, SAP, Agile, Arena).
  • Excellent organizational skills, attention to detail, and ability to prioritize in a fast-paced environment.
  • Strong interpersonal and communication skills for cross-functional and supplier collaboration.
  • Position is for San Jose and on-site only

Preferred Skills

  • Experience with contract manufacturer (CM) or ODM document management.
  • Familiarity with supply chain management processes.
  • Prior audit support experience (internal, ISO, or customer-driven).
  • Spoken Mandarin Chinese is a plus
