Project Information Management Specialist

Position Summary
The Project Information Management Specialist is responsible for developing and implementing the infrastructure, processes, and controls necessary to efficiently manage, secure, and maintain project-related documentation throughout the project lifecycle. This role supports vendor documentation, construction records, quality records, and critical business records while ensuring compliance with document control standards and archival requirements. The specialist will also coordinate construction work package assembly, revision control, distribution, and final record retention activities.
Key Responsibilities
- Develop and implement project information management processes and document control systems.
- Manage and secure project-related documentation, including vendor documents, construction records, quality records, and business-critical files.
- Establish and maintain document revision control procedures to ensure accuracy and compliance.
- Coordinate the assembly, reproduction, distribution, and archival of construction work packages.
- Ensure project documentation is organized, accessible, and maintained according to company standards and regulatory requirements.
- Support project teams with document management best practices and process improvements.
- Monitor document workflows and identify opportunities for increased efficiency and cost savings.
- Coordinate document submissions and final turnover packages for project closeout activities.
- Maintain records retention and archival processes for long-term storage and retrieval.
Required Qualifications
- Experience in document control, records management, project information management, or project administration.
- Strong understanding of document lifecycle management and revision control processes.
- Experience supporting construction, engineering, utility, infrastructure, or industrial projects.
- Proficiency with document management systems and Microsoft Office applications.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities and deadlines in a fast-paced project environment.
- Excellent communication and stakeholder coordination skills.
Preferred Qualifications
- Experience supporting utility, energy, engineering, or large-scale construction projects.
- Familiarity with quality records management and project closeout documentation.
- Knowledge of records retention policies and regulatory compliance requirements.
- Experience with Electronic Document Management Systems (EDMS).
