SUMMARY

The Docket Specialist is a professional and highly responsible position providing case flow management for a high volume injunction for protection docket for five Family Law Judges. The Docket Specialist monitors the court docket, prepares summary reports, verifies and researches case information, schedules hearings, and provides follow-up for injunction for protection cases. The Docket Specialist handles the preparation of files, calendaring of hearings, verification of service, completion and amendments of orders, and performs clerical duties associated with the duties listed. The Docket Specialist is required to provide quality, accurate, and timely information to the Family Law Judges and court personnel. This position is required to attend court, announce cases, and efficiently handle the case flow of the injunction and violation dockets.

The Docket Specialist is required to assist with the preparation, completion, and notarization of documents. This position is required to handle a high volume of public and professional inquiries, manage the calendaring of intake appointments, and use a multi-line telephone system. The Docket Specialist requires good communication skills and the ability to provide a clear explanation of the court process, the terms of the protection order, and enforcement remedies. The Docket Specialist is also required to perform front desk duties, as assigned. General office duties are required. The Docket Specialist position reports directly to the Program Coordinator in the Domestic Violence Division. Performance is evaluated by accuracy and efficiency of work provided, timeliness of duties, and by feedback from the public and other agencies.

Primary responsibilities of a Docket Specialist include the following: (1) Docket preparation, hearings, and follow up; (2) Preparation of summary case reports and orders from court including notarization; (3) Provide assistance with intake and front desk responsibilities; (4) Monitoring of case scheduling; (5) Perform other administrative duties as assigned.

Examples of Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES

(1) Docket Preparation, hearings, and follow up

  • Prepare court files for a high volume court docket.
  • Calendar hearings.
  • Prepare and disseminate the injunction for protection docket.
  • Attend Injunction for Protection hearings.
  • Arrange for court interpreters and any other court accommodation needed.
  • Insert and type data into the CJIS (Criminal Justice Information System) program.
  • Compile monthly statistical information.
  • Fax and receive service information from the Lee County Sheriffs Office including verifying service information.

(2) Preparation of summary case reports and orders from court including notarization

  • Prepare summary reports, verify and research case related information.
  • Notarize documents received by litigants and process accordingly.
  • Prepare court orders including violation hearings, setting trial dates and releasing bonds.
  • Monitor compliance of court orders, including any special conditions.
  • Case Manage Motions for Continuances.
  • Prepare and complete civil cases for judicial review

(3) Provide assistance with intake and front desk responsibilities

  • Assist litigants, attorneys, and court personnel with injunction for protection inquiries, paperwork, affidavits, and motions.
  • Provide victim assistance and maintain confidential information as required by law.
  • Answer a multi-line telephone and assist a high volume of public and professional inquiries about injunctions for protection, the court process, and case information.
  • Assist litigants and walk-ins in a neutral and discrete manner.
  • Schedule, manage, and maintain the intake appointment calendar.
  • Prepare and disseminate mail.
  • File, fax, scan, deliver, and receive files.
  • Perform front desk duties
  • Fax and receive emergency injunction information from the Lee County Sheriffs Office.

(4) Monitoring of Case Scheduling

(5) Perform other intake and administrative duties as assigned
