REPORTS TO: District Administrator
HOURS: 8 hours per day; Monday - Friday and School Board Meetings
TERMS: 260 day contract - salary and work schedule established by the Augusta School Board & Administration
FUNCTION: Perform a variety of administrative and clerical tasks including, but not limited to, providing support to the District Administrator and employees, assisting in daily office needs and managing the district's general administrative activities.
DUTIES:
- Deputy Clerk for the school board
- Provide general support to visitors, parents, students, and community members
- Prepare and submit any necessary information to publish in local newspapers or school newsletters
- Open Enrollment and Home School Coordinator
- Update and distribute various district handbooks as needed
- Maintain keys and access for all district buildings and doors, including building usage and access by groups outside of the district.
- Maintain transportation equipment files, vehicle maintenance billing and student transportation reports
- Maintain personnel files and ensure compliance with confidentiality
- Update and communicate available job postings both internally and externally
- Receive substitute job applications and maintain list of approved staff
- Prepare mail and packages with postage daily
- Prepare and distribute district correspondence with staff
- Prepare and submit various reports to the Department of Public Instruction (DPI)
- Coordinate and support Administration on district wide staff activities
- Maintain approved volunteer list including background checks and organize volunteer appreciation activity/gift
- Exhibit an attitude suitable to work in a child centered environment. This will include, but not limited to: appropriate use of language, respect of property, concern for others, and willingness to assist when needed.
- Additional duties and responsibilities as necessary within the scope of the position as assigned by the District Administrator
QUALIFICATIONS:
- Exceptional customer service skills
- Ability to follow instructions and work independently
- Ability to relate with staff, students, parents, and community members
- Ability to distinguish and maintain confidential or sensitive information
- Ability to interpret and follow policies, regulations and operational guidelines
- Working knowledge of office equipment including copiers, printers and fax machines
- General computer skills including using email and various office software
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Knowledge of Skyward helpful
- High school diploma or equivalent; additional qualification as an Administrative assistant or Secretary is a plus
