Salary Range: $42,000-47,000

Organizational Relationship

or Line of Authority: Works under the supervision of a school nurse who is responsible to the Supervisor of Health & Nursing Services, and Superintendent of Schools.

Role Summary

This role is responsible for ensuring all new students meet medical and linguistic requirements for enrollment, while simultaneously managing the essential "back-office" functions of the school/district, including payroll and procurement.

Key Responsibilities

  1. Health & Medical Compliance
  • Medical Record Review: Audit immunization records and physical exam forms for all incoming students to ensure compliance with state and district health regulations.
  • Health Liaison: Act as the primary point of contact for parents regarding missing medical documentation and health requirements for school entry.
  • Clinical Support: Assist the school nurse (if applicable) with basic first aid, maintaining the clinic space, and organizing student health files.
  1. Admissions & ELL Coordination
  • Student Registration: Guide families through the enrollment process, ensuring all residency and legal documents are accurately processed.
  • ELL Testing Coordination: Schedule and organize English Language Learner (ELL) screenings for new students; coordinate with testing proctors and faculty to ensure timely placement.
  • Translation Liaison: Facilitate communication with non-English speaking families to ensure a smooth transition into the school environment.
  1. Administrative & Financial Operations
  • Payroll Processing: Manage staff timesheets, track leave requests, and coordinate with the district/central office to ensure accurate and timely payroll execution.
  • Inventory & Ordering: Oversee the procurement of school and medical supplies; manage vendor relationships and monitor departmental budgets.
  • Data Management: Maintain student information systems (SIS) with high accuracy and confidentiality, adhering to HIPAA and FERPA guidelines.
  • Grant Management: Assist Supervisor of Health and Nursing Services with tracking of expenditures and budget planning for CSHS and DPH Behavioral Health Grants

Qualifications

  • Education: Medical Assistant (CMA/RMA) certification preferred, or equivalent experience in a clinical setting.
  • Experience: 2+ years in an administrative role, ideally within a school or pediatric healthcare setting.
  • Skills: * Proficiency in payroll software and office suites (Excel/Google Sheets).
  • Strong understanding of medical terminology and immunization schedules.
  • Exceptional organizational skills-you will be juggling very different "hats" daily.
  • Bilingualism (highly preferred) to assist with ELL coordination.
