About the role:
Every appointment our field sales team runs starts with you. As the Dispatch & Confirmation
Specialist at Precision Pool Restoration, you own what our reps walk into each day: a full
schedule of confirmed, qualified appointments in the right place at the right time.
This role has two sides that work as one. On the confirmation side, you make sure every
scheduled appointment is locked, verified, and ready before it ever hits a rep's calendar. On the
dispatch side, you assign and route those appointments across all our markets and stay on the
line with the field team all day, adjusting in real time as things change. When an appointment
falls out, you fill the gap. When a rep runs behind, you re-sequence the day. You are the person
keeping the field engine running.
You own two numbers: fill rate, so every rep gets a consistent volume of appointments, and
demo rate, so those appointments are qualified and actually happen. Hit both and the whole
sales team wins.
This role works directly within our inside sales team and partners closely with field sales every
single day. It's a great fit if you're organized, calm under pressure, and get satisfaction from
being the dependable center of a fast-moving operation.
What you'll do:
Confirmation: Lock Every Appointment
Confirm every scheduled appointment across all markets before it reaches the field
calendar
Run our confirmation cadence by phone and text to reach the homeowner, lock the time,
and reduce cancellations and no-shows while maximizing our fill rate
Verify the details that make an appointment real: scope of work, homeowner and
decision makers present, correct address and access
Give at-risk appointments a second pass so nothing quietly falls through
Dispatch: Assign and Route Across Markets
Assign confirmed appointments to the right field rep by market, geography, and available
capacity
Build efficient routes that respect drive time so reps spend more time in front of
homeowners and less time on the road
Keep every rep's day filled to target and balance the load fairly across the roster
Confirm each appointment meets our qualification standards before it's dispatched, so
reps walk into appointments they can actually work
Field Liaison: Run the Day Live
Serve as the single point of contact for the field sales team throughout the day
Handle changes in real time: reschedules, no-shows, cancellations, reps running behind,
and open slots
Fill gaps fast when something falls out, and re-sequence a rep's day when the plan
changes
Communicate every change clearly and quickly to both field reps and the inside sales
team
Own the Numbers
Own fill rate: deliver consistent, reliable appointment volume to the field every day
Own demo rate: protect the quality of what gets issued so appointments hold and reps
get in the door
Watch for scope, qualification, and scheduling issues before they reach the field, and
flag patterns early
Keep Records Accurate
Log all confirmations, assignments, and outcomes in our customer system (i360)
promptly and accurately
Keep records clean and current so the team can track results and your commissions are
calculated correctly
Catch and fix errors before they cause problems downstream
What we are looking for:
Experience
3+ years in dispatch, scheduling, logistics, coordination, or inside sales / call center;
experience owning a live schedule strongly preferred
Track record of being a reliable point of contact under time pressure, juggling many
moving parts at once
Experience in home services, field sales support, or a high-volume appointment
operation is a plus
Comfort working in a role where part of your pay is based on the results you deliver, in
this case fill rate and demo rate
Skills
Highly organized and calm under pressure, able to manage a constantly changing
schedule without dropping details
Strong, clear communicator with field reps, homeowners, and teammates, especially
when plans change fast
Comfortable using and learning customer software (Salesforce / i360 experience a plus),
plus dialer and texting tools; familiarity with Google Workspace
Good geographic and routing sense, or the ability to pick it up quickly
Able to move fast, stay accurate, and keep clean records through a high volume of
time-sensitive activity
Bilingual English/Spanish is a plus but not required
