Director of Special Education and Pupil Services Administrative Assistant

JOB OBJECTIVE:
Provide administrative, operational, clerical, and confidential support for the District Student Services Department. This position supports the Director of Student Services, special education processes, student services programming, required reporting, family communication, and the overall daily operations of the department.
REPORTS TO:
Director of Special Education and Pupil Services
PRIMARY DUTIES:
Provide administrative and clerical support for the Student Services Department, including special education, Section 504, health services, counseling, mental health, attendance-related supports, and other student support services as assigned.
Support the proper and timely completion of required state and federal reports, including reports related to students with disabilities, enrollment, special education funding, and other Student Services requirements.
Organize, maintain, and support accurate recordkeeping for students receiving special education and student services supports.
Assist with communication and documentation for required special education meetings, including IEP meetings, evaluation/re-evaluation meetings, parent notices, consent forms, placement offers, and related correspondence.
Assist with the organization and maintenance of confidential student records, department files, forms, reports, and electronic documentation.
Coordinate district communication and documentation with outside public agencies, service providers, and community partners as directed.
Manage department data, including confidential information, in a professional, ethical, and legally compliant manner.
Provide information and answer questions from staff, families, and the public in a professional, welcoming, and service-oriented manner.
Assist with purchase orders, requisitions, invoices, supply orders, and other department office operations.
Support department communication, including phone calls, emails, mailings, meeting notices, forms, and family-facing correspondence.
Resolve administrative problems by organizing information, analyzing data, identifying possible solutions, and communicating needs to the Director of Student Services.
Complete normal job duties on a timely basis without direct supervision.
Participate in a positive and friendly work environment in all interactions with students, families, district office staff, building staff, and the public.
Demonstrate a customer-friendly atmosphere in all interactions with families, staff, students, and community members.
Maintain a current administrative and technical knowledge base through district training, professional learning, business networks, educational workshops, and professional publications.
Additional duties as deemed appropriate at the sole discretion of district leadership.
