Position Summary

 

The Director of Operations plays a critical leadership role within the department, serving as the primary administrator for all non-academic operations and acting on behalf of the Chair in managing the departments administrative functions.

 

This position is responsible for ensuring efficient day-to-day operations, overseeing administrative staff, managing financial and personnel matters, and supporting the overall strategic goals of the department.

 

The Director of Operations works closely with departmental leadership to maintain effective administrative processes, foster a collaborative work environment, and ensure compliance with university policies and procedures.

 

Key Responsibilities

 

Operational and Administrative Leadership

  • Oversee the day-to-day non-academic administrative operations of the department.
  • Ensure efficient workflows, operational effectiveness, and compliance with departmental and university policies.
  • Develop, implement, and refine administrative procedures and operational practices as needed.

 

Staff Supervision and Leadership

  • Supervise and coordinate the work of administrative staff in partnership with the Chair.
  • Delegate responsibilities, establish priorities, and support a collaborative and high-performing team environment.
  • Provide mentorship, guidance, and professional development opportunities for staff.

 

Recruitment, Performance Management, and Employee Relations

  • Support the recruitment and hiring process for administrative staff, including drafting job descriptions, participating in interviews, and making hiring recommendations.
  • Conduct regular performance evaluations and provide ongoing feedback to staff.
  • Address employee relations matters, including performance concerns, workplace conflicts, and disciplinary issues, in coordination with Human Resources and university policies.

 

Financial and Budget Management

  • Support the Chair in managing the departments operating budget and financial planning.
  • Monitor expenditures, allocate resources appropriately, and ensure financial accountability.
  • Prepare budget projections, reports, and related financial analyses as needed

 

Policy Administration and Compliance

  • Ensure departmental policies and procedures are communicated clearly and followed consistently.
  • Assist in the development and implementation of operational policies and best practices.
  • Maintain compliance with institutional guidelines and administrative requirements.

 

Communication and Strategic Support

  • Serve as a liaison between the Chair, faculty, staff, and central administrative offices.
  • Facilitate clear and effective communication across the department.
  • Support departmental initiatives, strategic planning efforts, and operational projects.

 

Project and Data Management

  • Lead or coordinate special projects and operational initiatives requiring administrative oversight.
  • Collect, analyze, and report on operational and administrative data to support departmental decision-making.  


Required Skills

 

  • Bachelors Degree Required, Masters Preferred 5+ years of direct work experience with 3+ years of management experience Must include cover letter to be considered.
  • The ideal candidate will possess strong organizational, leadership, and problem-solving skills, along with the ability to manage multiple priorities in a dynamic academic environment.
  • Experience with financial management, personnel administration, and higher education operations is strongly preferred.
