SUPERVISES: Administrative/clerical staff in the maintenance of academic and related records, registration and enrollment of students, maintenance of course catalog, class schedule, and exam schedule, and exam proctoring. Manages hiring and training of students and/or other employees for exam proctoring.
SUMMARY PURPOSE OF POSITION: Directs and supervises the operations and staff of the Law Enrollment Center and works with departmental leaders to develop practices and policies to serve students in a "one-stop" service environment and in cooperation with academic and student offices across campus, to help ensure student retention and success. Establishes and administers processes and procedures for student enrollment at the Law School. The Director functions as registrar for the School of Law, working with the University Registrar's Office to coordinate law school systems with those of the University. Responsible for leadership and oversight of all aspects of the School of Law records including enrollment and registration, course inventory and catalog, creating courses in COIN, class roster, grade roster, exam administration, grading process, degree audits, processing of degree conferrals, and State Bar and Moral Character Certifications for admission to practice law. Responsible for compiling and analyzing data for American Bar Association (ABA) accreditation, annual surveys, and US News reporting. Collaborates with the Academic Dean for Academic Affairs to ensure compliance with applicable laws, regulations, and accreditation standards. Works in collaboration with the Dean of Students on Orientation and Graduation activities and in collaboration with other law school departments including Admissions, Financial Aid, Dean of Students, Academic Support and Director of Bar Success along with the university registrar, bursar, residential life, and other core campus offices that serve students.
Follows the University's best practices to build and support student academic success and retention, and assists in meeting strategic objectives for persistence and timely graduation of all students.
EXAMPLES OF PRIMARY DUTIES AND RESPONSIBILITIES:
- Provides strategic leadership and direction for all aspects of student academic records and systems processing of student information. Manages enrollment appointments, service indicators, grades, academic standing, student leave and withdrawals, transfer credits, advisement reports, graduation eligibility, and record-keeping for the School of Law.
- Manages staff of the Law Enrollment Center; provides coaching and performance feedback; conducts annual performance evaluations; provides training regarding policies and procedures; and provides leadership in enhancing student self-services.
- Plans, implements, and supervises retention-related interventions such as communications, system improvements, staff training, monitoring protocols, and other aspects that contribute to the success and coordination of student-related services, processes, and systems to ensure an optimal experience for students.
- Responsible for collection and compilation of state bar passage data from bar administrations in all jurisdictions and reporting of annual first-time and ultimate bar passage to the American Bar Association (ABA), the Law School's accrediting agency.
- Manages statistical data, generates reports, and analyzes data for departments across the School of Law for annual ABA accreditation reporting, US News statistics, and other reports as needed.
- Responsible for certifying students' eligibility for degree certification, bar examinations, and character and fitness for admission to practice law.
- Manages and provides academic and student data as required to state and federal agencies and surveys (National Student Clearinghouse, U.S. News, etc.) to Deans and other academic areas, including academic standards, financial aid, and institutional research.
- Implements and enforces academic policies and regulations established by the Law School, American Bar Association, and the University to support the educational mission of the Law School.
- Facilitates seamless service for student interactions and addresses all escalated concerns presented to the Law Enrollment Center, working with departmental colleagues to resolve issues.
- Serves as designated Veteran Affairs School Certifying Official (SCO), responsible for VA reporting of Law Student enrollment requirements for benefits; completes annual training to ensure changes in laws and/or regulations are being adhered to and processing procedures are current.
- Establishes cross-campus relationships for enhancement of services provided through the academic records office and other academic service areas; ensures that the Law Enrollment Center continues to be an integral part of the Law School and a recognized partner within the University.
- Oversees the processing of administrative enrollment functions including, but not limited to account "holds"; course adds and drops; check payments; and timely reports of Law School Enrollment Center activities.
- Manages and supervises all scheduling functions for law students including maintaining a schedule of classes; scheduling new courses and updating existing courses; generating class and grade rosters and blind grading ID numbers; and monitoring school compliance regarding course offerings.
- Oversees the administration of mid-term and final exams including scheduling special accommodations, proctors, and make-up exams; collaborates with IT regarding exam software (such as ExamSoft).
- Verifies reports and data from the COIN Student Information System and Summit.
- Coordinates with the Dean of Students, University registrars, and Graduation Committee to plan and execute the arrangements for the annual Commencement Exercises.
- Maintains and updates the law course inventory; manages the Law School online academic catalog in Acalog according to ABA consumer standards.
- Collaborates with Associate Dean for Academic Affairs to produce and publish law academic calendar, schedule of classes, and final exam schedule.
- Directs the planning and execution of Student Q&A Registration Information sessions and first-year program planning and registration workshops.
- Collaborates with the Dean of Students on the delivery and implementation of Character and Fitness Information sessions for First-year students and graduates.
- Maintains the Law Enrollment Center and New Student Portal websites; ensures websites reflect accurate and up-to-date information regarding academic policies and procedures.
- Fulfills Archivist role for Law School; maintains the official academic record for current and former students, including students of Southern New England School of Law.
- Performs other related duties as assigned.
MINIMUM QUALIFICATIONS:
- EDUCATION: Master's Degree
- EXPERIENCE: Significant experience (over 5 years) in a university office associated with student enrollment, registration, course scheduling, and records using a comprehensive student information system. Previous experience supervising staff in the performance of enrollment-related functions.
- OTHER: Flexible schedule to accommodate peak hours of service including some evenings and weekends.
PREFERRED QUALIFICATIONS:
- Experience with student information systems such as PeopleSoft.
- Experience in one or more of the following student service offices: Admissions, Registrar, Financial Aid, and/or Bursar.
- Ability to do data extractions and queries in Summit/PeopleSoft.
- Experience in a Law School administrative office.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
- Significant experience in a law school or university demonstrating a progressive increase in supervisory responsibilities; a thorough knowledge of registration processing, grading systems, academic policies and procedures, scheduling procedures, and graduation/degree verification.
- Thorough knowledge of and experience with policies, regulations, and academic standards, both internal to campus and external (e.g., federal laws affecting student records).
- Demonstrated ability to use, develop, and report from a comprehensive student information system.
- Ability to gather and analyze statistical data and generate reports.
- Demonstrated commitment to customer service with the ability to exemplify judgment and tact in customer service personally, as a supervisor, and as a campus leader.
- Ability to explain rules, policies, and procedures.
- Proven leadership abilities, capability to work effectively with academic departments and student service units; exceptional management and communications skills; strong analytical and computer system skills; student service philosophy.
- Excellent oral and written communication skills.
- Excellent time management skills and ability to multitask in a fast-paced customer-centric environment.
