Position Summary: Directs the planning, development, marketing, execution and evaluation of conferences and events for the University as well as managing event contracts. Ensures maximum utilization of physical space, equipment and services for academic, administrative and community clients. Ensures high quality customer service is shown to all internal and external customer events. Serves as the System Administrator for the campus event management system.
Duties and Responsibilities:
Event Consulting and Risk Management: Ensures a comprehensive conference plan is developed for each client by identifying the key tasks to be accomplished and the corresponding deadlines, conducting site inspections of facilities when required, matching client's expressed needs with campus facilities and services, meeting with clients, providing information and answering questions, confirming pre-event preparations and arrangements, and finalizing event setup with all affected campus departments.
Supervision of Event Management Coordinators, Logistics Coordinator and Event Production Multimedia Coordinator and Event Production Multimedia Technician.
EMS System Administrator and Web App Administrator
Management of Summer Conference and Camp Program: Additionally, directs the Summer Stay Program. Hires, trains and supervises summer conference staff.
Service Department Coordination: Assures campus-wide coordination of required services for conference and academic reservations by directing and coordinating the details and procedures necessary for Facilities, Catering, Public Safety, Community Life, IT, Custodial, Logistics and Event Production. Notifying other departments of events affecting them or requiring their services.
Academic Imports into the Event Management System and subsequent adjustments.
Event Contracts/Insurance/Rider Approvals: Develop, maintain, and review contractual documents and pricing guidelines for all facility rentals. Negotiate internal and external contracts for conference events. Secure relevant insurance information prior to events.
Strategic Planning and Financial Management for CES: Develops promotions, marketing, and web presence. Designs long-range conference plan, outlining specific target groups, and organizations. Develops, maintains and provides reporting of the annual conference budget. Develops and maintains conference program evaluation plan
Perform other job-related duties as assigned.
Qualifications:
Experience Needed: At least three years of project management, customer service or event planning, preferably occurring in a higher education environment. Experience maintaining an event management system database is preferred.
Working Conditions: Evening and weekend hours frequently required
