St. Gregory the Great Parish and School seeks a faith-filled, highly organized, and collaborative professional to serve as Director of Administrative Services. Reporting directly to the Pastor and working closely with the Principal and parish leadership team, the Director of Administrative Services provides leadership and oversight for the administrative, financial, human resources, facilities, and operational functions of the parish and school.

The Director of Administrative Services supports the mission of St. Gregory the Great by ensuring effective stewardship of resources, operational excellence, and a welcoming environment that advances Catholic education, faith formation, and parish life.

Essential Responsibilities

Financial Management

  • Oversee parish and school finances in collaboration with the Pastor and Finance Council.
  • Prepare and monitor annual operating budgets.
  • Manage accounts payable, accounts receivable, payroll, and cash flow.
  • Maintain accurate financial records and reporting systems.
  • Coordinate annual audits and ensure compliance with diocesan policies and procedures.
  • Provide regular financial reports and analysis to parish and school leadership.

Human Resources

  • Coordinate recruitment, hiring, onboarding, and personnel records for parish and school employees.
  • Support employee evaluations, contracts, benefits administration, and professional development.
  • Ensure compliance with employment laws, diocesan policies, and Safe Environment requirements.
  • Serve as a resource to supervisors regarding personnel matters and workplace practices.

Operations and Facilities

  • Oversee facility maintenance, capital improvement projects, and vendor relationships.
  • Coordinate the use of parish and school facilities.
  • Ensure compliance with safety, security, and risk management standards.
  • Supervise operational staff and contracted service providers.
  • Assist with long-range planning related to facilities and campus improvements.

Administrative Leadership

  • Collaborate with the Pastor, Principal, and leadership teams to support strategic priorities.
  • Develop and maintain efficient administrative systems and procedures.
  • Support stewardship initiatives and resource management efforts.
  • Coordinate contracts, insurance renewals, and regulatory compliance.
  • Serve as staff liaison to designated parish and school committees.

Mission and Community Engagement

  • Model and support the mission and values of Catholic education and parish ministry.
  • Foster positive relationships with parishioners, families, staff, volunteers, and community partners.
  • Participate in parish and school events as needed.

Qualifications

  • Bachelor''s degree in Business Administration, Finance, Accounting, Human Resources, Educational Administration, or related field required
  • Minimum of five years of progressively responsible leadership experience in administration, finance, operations, or related areas.
  • Experience in a parish, Catholic school, nonprofit, or educational setting preferred.
  • Strong financial management and budgeting skills.
  • Knowledge of human resources practices and employment regulations.
  • Excellent organizational, communication, and interpersonal skills.
  • Demonstrated ability to lead teams, manage multiple priorities, and maintain confidentiality.
  • Proficiency with financial management systems, Microsoft Office, Google Workspace, and related administrative software.
  • Commitment to the mission and values of the Catholic Church; practicing Catholic preferred.

Physical Requirements

  • Ability to move throughout parish and school facilities.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to attend occasional evening or weekend meetings and events.
