POSITION PURPOSE:

The Director of Academic Operations and Systems provides operational leadership and systems support for Academic Affairs. The position ensures that academic schedules, instructional technology platforms, reporting processes, and related administrative workflows are accurate, timely, integrated, and aligned with student progression, faculty needs, and institutional priorities.

The Director serves as a central resource for academic scheduling, learning management system administration, academic systems support, data and reporting, and cross-departmental coordination. The role works closely with Academic Affairs leadership, department chairs, the Registrar, Advising, Online Learning, Information Technology, Facilities, Student Financial Services, faculty, and staff to support effective academic operations.

This is a systems-oriented academic operations role requiring strong organizational judgment, technical aptitude, data literacy, confidentiality, and the ability to translate academic policies, curriculum updates, scheduling needs, and operational requirements into efficient and reliable workflows.

SALARY RANGE: $95,000 - $115,000/Annually

ESSENTIAL FUNCTIONS AND BASIC DUTIES

  • Lead academic scheduling operations by developing, maintaining, and improving course schedules, classroom assignments, section management processes, and related scheduling workflows that support student progression, instructional needs, and institutional goals.
  • Administer and support key Academic Affairs systems, including the learning management system, student information system workflows, academic catalog platform, course evaluation platform, student success tools, and other technology platforms that support academic operations.
  • Ensure the timely and accurate setup, maintenance, and troubleshooting of academic technology workflows, including course shells, user access, placement exam support, system integrations, and escalation of technical issues in collaboration with Information Technology and Online Learning.
  • Generate, analyze, and communicate academic data and reports to support decision-making related to enrollment, scheduling, course utilization, student success, academic operations, and process effectiveness.
  • Coordinate academic operational processes, including curriculum and catalog updates, course evaluations, academic records workflows, grade-submission tracking, electronic forms, and policy implementation.
  • Monitor student success indicators and academic performance data, and support timely communication and escalation to appropriate stakeholders to assist with early intervention and student progression initiatives.
  • Serve as a key liaison among Academic Affairs, Registrar, Advising, Information Technology, Online Learning, faculty, department chairs, Deans, and other administrative offices to ensure effective communication, coordination, and follow-through.
  • Provide training, technical guidance, and user support to faculty and staff on academic systems, operational processes, deadlines, and procedural expectations.
  • Identify and implement process improvements, support documentation of recurring workflows, and contribute to the continuous enhancement, efficiency, and reliability of Academic Affairs operations.
  • Maintain data integrity, confidentiality, and professionalism in the handling of student records, academic information, operational reports, and system access.

PERFORMANCE MEASUREMENTS

  • Academic course schedules, room assignments, restrictions, and final exam schedules are developed, reviewed, published, and updated according to approved institutional timelines.
  • Schedule-related data in academic systems is accurate, current, and aligned with registration, advising, instructional, and operational needs.
  • Canvas/LMS course shells, access, placement exam support, and related academic technology workflows are completed accurately and by established deadlines.
  • Academic systems issues are resolved or escalated in a timely manner, with clear communication to affected users and departments.
  • Academic reports, enrollment summaries, course utilization analyses, and other data deliverables are accurate, complete, and provided within requested timelines.
  • Catalog, curriculum, course evaluation, grade-submission, and academic workflow timelines are tracked effectively, with appropriate follow-up to ensure completion.
  • Student success indicators and academic performance data are reviewed and escalated appropriately to support early intervention and student progression.
  • Faculty, staff, and department chairs receive timely, clear, and professional communication, training, and user support related to academic systems and processes.
  • Recurring academic operations processes are documented, maintained, and improved to support continuity, efficiency, and accountability.
  • Confidential academic and student information is handled in accordance with College policy, FERPA expectations, and appropriate standards of professional discretion.

REQUIREMENTS: The person selected will have the following qualifications:

EDUCATION/CERTIFICATION:

  • Bachelor''s degree required. Master''s degree preferred in higher education administration, educational technology, information systems, data analytics, business administration, or a related field.

REQUIRED KNOWLEDGE:

  • Strong understanding of higher education academic operations, academic scheduling, academic systems, student information systems, learning management systems, data reporting, process documentation, FERPA/privacy expectations, and Microsoft Excel, including sorting, filtering, formulas, PivotTables, data validation, and data cleanup.

REQUIRED EXPERIENCE:

  • Five to seven years of progressively responsible experience in academic administration, registrar operations, academic technology, academic scheduling, enrollment operations, institutional operations, or a related higher education setting. Experience administering or supporting Canvas or another learning management system is required. Demonstrated experience working with student information systems, learning management systems, academic databases, or similar enterprise systems is required. Experience with course scheduling, classroom scheduling, section optimization, enrollment management processes, reporting, analysis, deadline tracking, and multi-step administrative workflows is required. Experience using AI tools or workflow automation to improve process and function efficiencies is preferred. Experience with Sonis or similar student information systems is a plus.
