Location: New York, NY

Duration: 6+ Month Contract

1) This role is remote with requirement to be in the home office. Must go to NYC on a cadence of once every two weeks, when events in the Home Office are happening and to be able to ship event materials out when required. Thus, while this role is remote, the person needs to be able to commute to the Home Office easily. Commuting expenses are not reimbursable.

2) 15% travel with a rare occasion to work evenings or weekend.

Responsibilities:

  • Lead the tactical and logistical planning of assigned meetings and events, including regional meetings, symposiums, product launch events, and senior-level engagements.
  • Oversee all event-related deliverables: agendas, run-of-show documents, creative assets, invitations, communications, gifting, and lead-generation materials.
  • Manage registration platforms, monitor attendee data, analyze performance metrics, and provide comprehensive reporting and insights.
  • Manage relationships with external partners including creative agencies, tradeshow organizers, booth vendors, hospitality providers, and on-site production teams.
  • Collaborate closely with Corporate Communications/PR, Sales, Marketing, Corporate Travel, and internal SMEs to ensure alignment of messaging, brand standards, and event objectives.
  • Negotiate booth locations, sponsorship packages, and marketing opportunities, ensuring optimal visibility and ROI.
  • Lead pre- and post-event briefings, documenting learnings and establishing best practices for future enhancements.
  • Strategize with Global Events Management leadership to innovate and continually elevate the impact of global events.
  • Ensure disciplined budget management, timeline adherence, and high-quality execution across all programs.

Requirements:

  • Proven ability to interact with executive and senior management with confidence, polish, and professionalism.
  • Demonstrated success leading end-to-end planning and execution of internal meetings, large-scale conferences, tradeshows, client hospitality programs, and virtual experiences across varying budgets and formats.
  • Strong vendor and partner management skills, including negotiating with tradeshow partners, overseeing booth builds, managing on-site planners, and ensuring adherence to timelines and quality standards.
  • Deep expertise creating best-in-class attendee experiences, from registration and communications through on-site delivery and post-event measurement.
  • Ability to manage, develop, and refine event marketing timelines including collateral creation, invitation workflows, gifting programs, room block coordination, lead-gen tools, and inventory management.
  • Experience building event pages, registrations, and virtual event platforms. Experience in Cvent is required.
  • Strong analytical thinking with experience managing event registrations, tracking performance metrics, and producing data-driven reporting.
  • Ability to collaborate effectively across cross-functional teams and influence stakeholders at all levels.
  • Proficiency in core Microsoft Office applications—including Excel, Outlook, Word, and PowerPoint—with the ability to create polished, executive-ready deliverables.
  • Exceptional organizational, project management, and problem-solving skills with the ability to prioritize and pivot seamlessly.
  • High degree of professionalism, discretion, accountability, and comfort making decisions in real time.

Preferred Skills:

  • 7–10 years of experience in event strategy, planning, and execution (financial services industry preferred).
  • Strong negotiation skills and experience working with external trade and marketing vendors.
  • Outstanding written and verbal communication skills with an executive-ready presence.
  • Proven ability to collaborate across complex organizations and deliver strategic initiatives on time and within budget.
  • Strong project management rigor with a commitment to continuous improvement.
  • Data-driven mindset with experience defining success metrics and enhancing customer experience strategy.
  • Ability to motivate, influence, and align diverse stakeholders toward common outcomes.
  • Exceptional attention to detail with the ability to anticipate needs and think proactively.
  • Strong budgeting experience and financial acumen.
  • High responsiveness, professionalism, and ability to thrive in a fast-paced, high-stakes environment.
  • Deep client-service orientation with a passion for hospitality and creating memorable experiences.
  • Commitment to learning, teamwork, and maintaining a positive, solutions-driven attitude.
