About the Role

At Colgate-Palmolive, we are transforming our Quality organization to be proactive, digital-first, and AI-ready. To achieve this, we need an impeccable data foundation. We are seeking a Digital Quality Systems Specialist - Governance, Analytics and Automation to serve as a vital custodian of our quality systems and data. This role will report into the Director of Digital Quality Systems.

We are seeking a Senior Global Quality Digital Systems Specialist to architect, define and enforce comprehensive System Governance policies and operational compliance strategy across all enterprise quality systems (QMS, LIMS, ERP) and Quality processes (Quality Technical Agreements, Mock Recovery Audits, among others). In this role you will ensure master data standardization and data management. You will closely partner with business process owners and SMEs to translate the compliance and business requirements into intuitive high-impact analytics, visualizations and dashboards required to provide the insights for better and faster business decisions. You will build digital solutions to automate operational workloads and provide systemic digital controls on standardized, machine-readable data. Furthermore, you will play a critical role ensuring our enterprise platforms adhere to rigorous regulatory standards like 21 CFR Part 11, EU Annex 11, and our internal Data Integrity directives.

Responsibilities

System Governance and Reliability

  • Design, configure, automate and maintain system access tools (e.g. enabled through Okta) to ensure compliance with internal governance rules, data integrity standards, GxP regulatory requirements in alignment with the system business owners.

  • In collaboration with Global Information Technology (GIT), manage the full user access lifecycle, including deactivation and removal, verifying that defined security and quality prerequisites are met for the corresponding digital applications. Develop and maintain user friendly access request tools and guidance detailing the pre-requisites and steps for access requests.

  • Attend issue resolution and monitoring. Coordinate issue-reporting tracks with users, GIT and the software vendor. Develop, configure, enhance and manage issue reporting digital tools to ease the resolution process and bring visibility to the common and/or critical issues. Collaborate to define and implement corrective/preventive actions involving automation when possible.

  • Ensure accurate user's metadata (e.g. position, function, primary location, roles, etc.) is maintained to ensure continuous access validity and data integrity. Support automation and integration initiatives.

  • Manage the quality system business continuity communications. Issue proper advance notifications detailing system downtime for scheduled maintenance or technical upgrades to all sites.

  • Work in collaboration with the Global quality systems team for the creation and update of the system Governance SOPs across digital quality platforms.

Data Standardization & Analytics

  • Maintain workflows and master data to uphold strict global standardization, simplification, and regulatory alignment for critical quality data elements (e.g., product hierarchies, batch codes, site locations, materials, vendors, categories, etc.).

  • Proactively monitor data quality using SQL and BI tools to identify anomalies, ALCOA+ principles gaps, profile system health, and drive remediation efforts before they become audit findings.

  • Development of visually intuitive dashboards and reports using tools like Sigma and Streamlit. Tracking and reporting on data quality KPIs, governance metrics, and system adoption rates to provide real-visibility with actionable insights, audit-readiness indices and monitor the health of the digital ecosystem.

Quality Systems Automation

  • Architect, deploy, and maintain robust digital solutions that convert high-friction manual or repetitive activities into fully automated, validated computer workflows. Proactively identify automation solutions to mitigate human error, eliminate data integrity "blind spots," and optimize operational workloads across global sites.

  • Collaborate with Global IT on the integration initiatives to strengthen data quality.

  • Embed the ALCOA+ data integrity principles into the foundational design of deployed quality systems and daily operational practices. Support the strategic transition from highly variable procedural controls to enforceable systemic digital controls (e.g., restricted Master Keyword Lists, hard-coded field drop-downs, and automated metadata tagging).

This position requires being on-site four days a week at our Piscataway location
