Job Description

Our mission is to provide support to the court in the administration of equal justice and equal access, the preservation of court and land-related records, and our staff will continually create, acquire, and transfer knowledge to provide the delivery of quality service that is responsive to the needs of our citizens.

The Deputy Clerk of Circuit Court II purpose is to prepare, research, organize, and monitor all documentation for civil, land records and deeds, and probate matters.

Deputy Clerk Court II, responsibilities include but are not limited to: orders for Divorce Cases, Order of Designation & Referral Settlement Conference - these are set up when a Divorce couple have a judge listen to their cases over what both parties are trying to settle on.

Custody/Visitation Cases (family coming regarding their children), Appointment of Guardian and /or Conservator, Guardian A Litem - is a person who is seeking Guardianship of a family member.

Substantial Risk Order, Protective Order (granted, denial, continue, dismissed and denied, GAPL-Warrant in Debt, judgments orders must be precise for the judge to sign for the release of the bond, Medical Malpractice (suing for number of damages), Writ of Centiorari (property line and Zoning Board), Conceal Handgun Permit, Name Changes.

Performs and serves in the delivery of court case management (CCMS) support, court financial management (FAS) support, and Circuit Court Imaging System (CIS) interface with the judges and administrative support staff, prepare court orders, disseminate court orders and findings, and review and exchange court rulings and documentation with appropriate agencies. Process all judicial documents, accurately and timely, which affect one's life, liberty, property and future. Does jail mail, copy requests, issue subpoenas and subpoena duces tucem and those returned,

Processing front counter customer service including answer phone questions and written requests. Handling cash, credit cards, and other duties assigned. Entering new cases, i.e. lower courts and certified cases appeals.

Customer service and / or procedural justice is a must and attention to detail.

Deputy Clerk of Circuit Court II must be accountable in the use of public resources, which means our office is fiscally responsible and sustainable

NOTE: Deputy Clerk II eventually will be cross trained for the civil courtroom.: Deputy Clerk of Circuit Court II, class works within a general outline of work to be performed; develops work methods and sequences under general supervision.

Required Qualifications

VOCATIONAL/EDUCATIONAL REQUIREMENT:

Requires an associate's degree or any equivalent combination of education and court experience or a closely related field.

EXPERIENCE REQUIREMENT:

In addition to satisfying the vocational/education standards, this class requires a minimum of two years of related, full-time equivalent experience.

Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.

Preferred Qualifications

  • Leadership training is beneficial and working with team members using communication and collaboration
  • Attention to detail to avoid critical mistakes and has judgment with extraordinary consistency.
  • Capable of cross-training within the civil and other divisions.
  • Exceptional customer relations
  • Proficient in all Microsoft and Excel Technology, including CCMS and FAS knowledge
  • Ability to draft legal documents
  • Accurately able to multi-task at a high volume
  • Experienced in handling confidential paperwork
