Position Information

Hiring Department: Integrated Planning

Reports To: Assistant Vice President for Budget and Payroll Services

Job Location: El Paso, Texas (On Site)

Posting End Date: Open until filled. This posting may close once a sufficient number of qualified applications have been received.

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm. Flexibility is required on evenings and weekends.

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary: Commensurate with experience and education.

Position Summary

Under minimal supervision and with considerable latitude for the use of initiative and independent judgment, provides leadership and direction for University contract administration and compliance.

Manage and coordinate projects across the Division of Business Affairs, including project planning, timeline development, stakeholder communication, task tracking, and follow-through on deliverables.

Collaborate with departments to identify business needs, assess current processes, and recommend technology-supported solutions that improve efficiency, effectiveness, and service delivery.

Serve as an administrator for assigned software systems, including user access, configuration, testing, issue resolution, documentation, and coordination with vendors or internal technical teams.

Monitor system functionality and data integrity, identify opportunities for system enhancements, and support implementation of upgrades, changes, and new features.

Create, maintain, and deliver training materials, user guides, procedural documentation, and presentations for staff and leadership on business processes and software applications.

Plan and facilitate individual and group training sessions to support successful adoption of systems, tools, and updated procedures.

Develop executive-level PowerPoint presentations, briefing materials, and visual summaries for leadership, using clear messaging and data-driven insights.

Design, generate, and maintain reports, dashboards, and data analyses to support operational monitoring, planning, compliance, and strategic decision-making.

Gather, validate, and interpret data from multiple systems to prepare recurring and ad hoc reports for leadership and departmental users.

Work closely with cross-functional stakeholders to support process improvement initiatives, implementation efforts, and organizational change management activities.

Troubleshoot application and reporting issues, respond to user questions, and provide timely functional support to ensure continuity of operations.

Maintain accurate records of projects, system changes, training activities, and reporting processes.

Ensure business processes and system usage align with applicable institutional policies, procedures, and data governance requirements.

Perform other duties as assigned in support of divisional operations and strategic initiatives.

Knowledge of all Microsoft Office software and able to learn and use institutional software systems.

Complies with all State and University policies.

Other duties may be assigned.

Supervisory Responsibilities: Carries out supervisory responsibilities in accordance with the organizations policies and applicable laws.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Required Qualifications:

Education: Bachelor's degree in a related field.

and

Experience: Three years of experience, related to the statement of duties and responsibilities; or equivalent combination of education and experience.

Ability to multi-task, prioritize and practice good decision making skills.

Knowledge of the principles, concepts, and methodology of contract negotiations.

Preferred Qualifications:

Experience implementing software packages.

Experience developing and delivering training materials.

Experience with records management practices, retention schedules, and audit readiness.
